How to use metadata for permission to access Documents?

I have document library with 100-200 documents. Not all users are allowed to open all documents. So far I know that user permission can be defined by a document or library level. And permision are granted for user or groups. I wonder if it possible define permissions by metadata level. For example "Personnel department security group" have access to the documents with metadata personnel.    Kenny_I

What is the best practice to manage permission for confidential documents



My company have 10 types of claim forms: travel claim, business trip claim, etc

I got job to create e-form from sharepoint using infopath but the thing is how to prevent someone else to not view our claim form since it's confidential.

Im thinking to create folder like this way:

1. Claim

1.1. Travel Claim

      all staff will submit their form over here.

1.2. Business Trip Claim

      all staff will submit their form over here.

1.3. etc


a. How to prevent other people to see our own claim form

b. How to restrict only the creator, supervisor and HR can see & approve their form

Is this something that need to do with Information Right System?

Hide documents from being access by unauthorized users.


Hi experts,

I would like to know how to hide certain documents (eg. Word, Excel, PPT, PDF) in a document libraries from unauthorized users? I tried implement Target Audience, but it doesn't work. If anyone know, i really appreciate for the guidance.

"Read Only" Access Error when checking in documents from outlook



We are accessing our sharepoint services 3.0 document library through outlook 2007.

We can open the files in word/excel etc, but when we go to check-in the document the application tells us that we only have read access to the document, and cant check the document back in to the server.

It works fine via the browser, the read only problem is only when checking out through outlook.

I have given all users full access and design access to the doc library.

Any help would be greatly appreciated.






The condition of creating assembly for external access permission?

To create an EXTERNAL_ACCESS or UNSAFE assembly in SQL Server, one of the following two conditions must be met: 1. The assembly is strong name signed or Authenticode signed with a certificate. This strong name (or certificate) is created inside SQL Server as an asymmetric key (or certificate), and has a corresponding login with EXTERNAL ACCESS ASSEMBLY permission (for external access assemblies) or UNSAFE ASSEMBLY permission (for unsafe assemblies). 2. The database owner (DBO) has EXTERNAL ACCESS ASSEMBLY (for EXTERNAL ACCESS assemblies) or UNSAFE ASSEMBLY (for UNSAFE assemblies) permission, and the database has the TRUSTWORTHY Database Property set to ON. The two conditions listed above are also checked at assembly load time (which includes execution). At least one of the conditions must be met in order to load the assembly. This is a explanation on msdn.I think if only one of these condition is met,it will work. But after I do the first condition,I still can not create an assembly with EXTERNAL_ACCESS permission except SET TRUSTWORTHY on. should the two condition be met?

Publish Office 2007 documents with metadata to SharePoint 2010?

Hi. I have SharePoint 2010 Enterprise based Intranet solution. We are publishing office 2007 documents to various document libraries there. When uploading documents normally to the document library, I can enter managed metadata to the documents which are later sorted and filtered by this metadata. But how can I enter metadata at the point where I'm publishing the document(Publish->Document Management Server)? I can get the document management pane to show my metadata -column in word as a textbox after the document is published, but the textbox is colored grey and says that I should modify that data on the server i.e. from sharepoint.

Is it possible move documents based on managed metadata to Document sets

I would like to all documents who have managed metadata "personnel" to the Document Set "HR". Is this possible with workflow?Kenny_I

Limited Access Option in Adding Users Permission Disappeared

Hello, I am using SharePoint 2007 and used to assign users to document libraries or to the whole Site - I add the user and select the Permission from the list (Full Access or Limited Access which are the build-in permissions. But now i only have the Full Access option and I cannot add a user with Limited Access- the Limited Access option simply does not appear in the list when assign permission to user.Ali Hamdar (alihamdar.com)

Access is denied when creating Alert me on a folder level permission is this a known bug?

Hi, A user is getting an Access Denied error when creating an Alert Me on a folder level. The security set to the user is, Read access to the list but without permission to Create an alert, and he has a Contributor access to the folder. The security was perfect, he can't create an alert to a list level, but Alert Me is available on a folder level. When the user clicks on the Alert Me on a specific folder it will bring him to the alert configuration page, BUT, he would get an Access Denied error when hitting the OK(Save) button. Is this a known issue in Item/folder level security? The fact that Sharepoint allows user to see Alert Me function I assume that it should function correctly, but this is not the case. Hope to hear from you guys! TIA!  

Add managed metadata column to list - access denied + terms not visible in lists


Firstly the following is not a problem for users given "Full Control" (and possibly other permission levels might work) at the web application level in central admin.

For any other user with permissions set at site collection level, even "site owners" (full control) , these problems arise.

  1. When adding managed metadata columns to a new document library list, clicking save results in multiple access denied errors getting logged (as seen using UlsViewer) and an exception is raised (sharepoint error page)
  2. In existing document library lists managed metadata column headings are displayed in list views but the terms text is not displayed.
This problem shows up even if the logged on user is the term set owner.  "Available for tagging" is enabled, submissions policy is closed.
Looking at http://<the-site-domain>/Lists/TaxonomyHiddenList/AllItems.aspx and then checking list permissions I can see that "All Authenticated Users" has Read permission level.
Integrated windows authentication - NTLM + Claims Based Authentication is the only authentication method used. It's an intranet site.

Access Permission


I've problem in my program then for this program i'm using 2 server.
1st = for web server (application & database) = ServerA
2nd = for share folder/filde (File server) = ServerB
And the logic for my program as below.
1. user Login into program > upload page
 (after upload, program automatic create 1 folder inside ServerB (\\ServerB\Data\NewFolder), then only giving access to that user

permissions: How to set intersection of groups to access shared documents


Hi all,

I'm wondering if this is possible.  I only want a person to be able to view a certain shared document if they are a member of BOTH groups A and B (the intersection fo the two groups)

If they are a member of ONLY group A OR ONLY group B they won't be able to see it.   They must be members of BOTH groups.

Is this possible?

I am working on security for my site. I have the general masses setup in the visitos group (read only access). I have several lists that utilize  managed metadata. when I switch to a visitor user the data in the managed metadata columns disappear. What  do I have to change to make it visible again?

Documents Permission



First of all I would like to tell you that I solved the issue I had with the event handler - I didn't actually solved it but I add the event handler manually and it is ok for me.

Now I have a question about permissions to files and document library.

I have a document center which I want everybody to have access to read it (which is what I created).

I have a few stores and when I upload a file most of the time I will upload it for specific stores only.

That means that I will need to set the permissions manually for each file which is ok.
My question is about the default of the permissions, is there a way to set the default permissions for the files I am now uploading different from the permissions of the parent(document center).

The reason I need it is because I would like that each time they upload a file they will need to choose which stores can see it, and not that all the stores can see this file automatically (that is the default right now).
