Send alerts based on approval status

Hello, I have a list of posts on blog site and set alerts on this list. The problem is that every time I post a new blog entry an alert is sent to the users despite the approval status of this post. So every edit attempt causes a new alert. The users does have only read permission set on this Post list. Is it possible to configure the alerts so the alert is being sent only when the post status is set to approved? BR, Tomek

Calculate a Field Based on Approval Status

  

I have a list that coordinates purchasing approval and tracks our budget.  Someone submited a new item to the list with Estimated Cost, Vendor, Description, etc.  When a new item is submitted, it triggers a workflow that sends it to me as the purchasing approver.  I approve the task and it noties everyone and puts the Approval colum as Approved.  This is all out of the box functioning.  I don't have designer on our network yet (working on it).

What I want to do now is create a column that checks the approval status and if it's approved puts the estimated cost in the column, if it's not approved, it puts 0.  This way I can sum that column to track the expenditures of only approved purchases and ignore the ones I disapproved.  This will allow me to have an accurate picture of how much money we have without having to totally delete a purchase request out of the list.

I've tried using the calulcated field for a new column but it doesn't like having to look at approval status.  I've tried it as both text and integer.  IE "=IF([Approval Status]='Approved',[Estimated Cost],0)" as well as "=IF([Approval Status]=16,[Estimated Cost],0)" as 16 is the number in datasheet view for approval.  Neither of them works as it doesn't like the approval status column use in general.


How to send Viewers email alerts on approved items

  

Hi,

I use the OOB Workflow approval to approve items in a document library. Once the items are approved I want to send out an email alert to a group of people with "read" access. The problem is that the email alerts don't fire. I even changed the alerts to fire on "All Changes", but still nothing coming through. I assume this is because of the workflow approval and perhaps that the event doesn't fire when an item gets published after approval?

But how can I get my readers to be notified of newly published (and approved) items? There must be a way of doing it?

Can you help me on this error while i am trying to create sql analysis service based status indicator.. 1- I created a .odc file connection string from MS Excel 2010. 2- After that I uploaded that file to my sharepoint site data connection list. 3-  After that I Selected SQL Analysis Server Status Indicator & uploded a .odc file from data connection list. After uploading .odc file it shows an Error : Error :- "This data connection does not use encryption for the communication with the SQL Server Analysis Services server. It is recommended to enable encryption for the SQL Server Analysis Services server to help prevent unauthorized users from viewing this information." OOTB Approval Workflow - Approval status could not be updated

  
I've setup up a standard OOTB (out of the box) approval workflow on a Pages library, in order to manage the approval of all pages created and updated.  This operates as expected, and the users are mostly happy, execpt for one scenario: Once a page has been submitted for approval, if the approver wants to edit the page, it stops the workflow (after prompting) which then requires the workflow to be started again.  They would like it so the approver can edit and then approve, without restarting the whole workflow process. There is a setting in the approval workflow configuration of the 'Complete the Workflow' section in the 'Cancel this Workflow when the' area, and by unchecking the 'Document is changed' option, I believe this should enable approvers to edit the page and then approve the page, without stopping the workflow  However, the workflow appears to operate as expected, except the page does not automatically get approved.  By looking in the workflow history, I can see the following error: Post-completion activity performed. Approval status could not be updated. I've tried this on two separate MOSS 2007 Enterprise farms, both are publishing sites and I'm running as a site collection administrator, both with the same results. Is anyone else getting this, is this normal?! Is there another way to approach this, without having to go

Set read only permissions on a document based on review status

  
I have a document library that has excel files that users create using a Content Type template.  Then there is a workflow that runs on it and allows the user to change state of the document to Strted, Prepared, Reviewed.  I want that once the status is set to reviewed, a workflow runs and changes the permissions on the document to read only.  The user is part of a group... so not sure how to handle the permission.  Any advice?

I’m using a simple Approval Workflow associated with Content Approval on site pages. It works fine when I set it to be started manually (by using Allow this workflow to be manually started by an authenticated user with Edit Item permissions  option) and on the completion of the workflow the Content Approval status is updated accordingly. But when I set it to be started automatically (by using Start this workflow when a new item is created  / Start this workflow when an item is changed options), it does not updates the Content Approval status. Note that I’ve set the Update the approval status after the workflow is completed (use this workflow to control content approval) option to true.

Program to send out Alerts if no file is recieved

  

Hi,

I want to write a program that keeps looking out for a file in a folder. That file will be dropped in at a particular time. If no file is recieved at that time, I will have to send out an email saying no file is recieved. How can I do this?

SharePoint 2010 Approval workflow based on list criteria

  

Hello All

I have been requested to create an Approval workflow for a list with 3 columns - Title, Category and Price. The Category field has 3 options - Minor, Moderate and Major.

If the Category is Minor the approval is sent to the Project Manager, and after approval it is sent to the Manager for approval.

How can I accomplish this using SharePoint Designer 2010? Can I modify the OOTB approval workflow, if yes how?

What other options do I have? This is really urgent.

Update Approval Workflow task status

  

Hello All

I am trying to update the task status automatically after a list item is approved without much luck. I need to set the task status to "completed" without having to manually hitting the "complete task" button, so the next person in line can approve the list item.

How can I change the status of a task using SharePoint Designer 2010?

In my SharePoint Designer task editor I have:

---I need to add a line in here that updates the task status to "completed"

How to change a SharePoint list item Approval Status from Silverlight webpart

  

Hello, 

I'm facing the following problem:

I have an embedeed silverlight xap application inside a custom visual webpart, that access SharePoint data through Microsoft.SharePoint.Client.Silverlight classes, and I have to modify some fields from an item from a list that has "Require content approval" enabled. I update the item successfully, but its approval status is set to "Pending" afterwards. 

How can I re-approve the content programatically?

Some additional information:

  • SPList item has a moderation information field, but in Silverlight there is only "ListItem" which does not contain such field.
  • When I try to do "item["_moderationinformation"] = something", I receive a PropertyOrFieldNotInitializedException.
  • I can check for Item.ParentList.EnableModeration, but there is neither a field nor a method related to moderation on the item itself.
A possible solution would be to create and call a web service that approves the items, but I'd rather prefer to avoid hosting and calling a ws to cover this functionality.

Any help on this would be greatly appreciated.

Content Query Webpart Missing Content Type and Approval Status

  

I'm a great fan o the CQWP , and love the changes made in 2010 on this webpart. What bothers me is that I use to Filter Documents by Approval Status, thus showing Draft or Pending Documents and Group these by their Content Type.

Both these were available in 2007, but removed from 2010 CQWP. Any idea why, or how to bring this back? sample or URL guidance would be great. My gut feeling is custom XSLT but id like to confirm this first.

Workflow Approval Process not setting item's Approval Status

  

Hello,

I've been pounding my head against the desk about this all afternoon.  I have a simple workflow attached to a document library that runs on item creation.  All it does is start the approval process on the current item and emails me and a few other people a task (in parallel).  I have another workflow attached to the document library that runs on modify and it looks to see what the Approval Status of the Current Item is.  If the Approval Status is Approved, the workflow copies the item to another library then deletes the current item.  Same with rejected (only sends it to another library).  Pending does nothing.  I modified the Completed step in the approval workflow to modify the item (to make sure the second workflow triggers)

All that works except, no matter what the Approval Status is alway Approved!  Even when first create the item and run the approval process, the item comes out as approved.  I even explicately set the Approval Status to Pending at the beginning of the first WF, but right after that, the item reverts back to being Approved.  How do I make the item be Pending until everyone has responded to the approval task?  I kinda thought that was the default procedure...

Cannot Send SharePoint Alerts outside company

  

I am unable to send SharePoint alerts outside the company. There are partners users in the Active Directory with an external e-mail address. The partners does not have mailboxes. They only exist in AD. They use SharePoint. There are no issue getting alert within company. I have created connector in exchange 2007 but that did not help. The SMTP virtual service is runnning on SP webserver however I think it is not in use. I sent alerts inside company however the mailroot folders did not get any action. Any help would be greatly appreciated. 


Can not send SharePoint alerts to the user outside domain

  
The SharePoint alerts would not go outside company domain. We have many partners users (some have active directory account and some are only in exchange 2007 contacts) and none of them recieve alerts. The internal users recieve alerts no problem there. I have setup relay in exchange 2007. From SharePoint webserver I can telnet/smtp to exchange on port 25 and able to send message. Not sure where  is the problem? can any one help?

Approval Workflow does not send Start Email to approvers

  

We've a SharePoint Server 2007 (which is upgraded from our SharePoint 2003 Portal Server + SP2 ).  


There is a strange problem working with Workflows.


When a standard Workflow is started for a document in an Existing Document Library, The Document's WorkFlow status changes to "In progress" and an Email is sent to the initiator; In the site Task List, also, the tasks are assigned correctly to approvers. but no emails are sent to approvers!!!


I should add that approvers WILL receive a due date warning email on the Task Due Date. 


The only missing part is "Task Started/Assigned" Emails.

 

Can anybody help?
