Sending reminder notifications from a workflow

This seems to be a pretty common question, but I've yet to find a solution.

I'm building a state workflow that will track one of our business processes from start to finish.  We do not use Sharepoint.

The process essentially goes like this: 

  1. Person submits application.
  2. Application is reviewed, and a check form is prepared for the applicant.
  3. The applicant is notified to pick up the check form.
  4. Applicant picks up the check form.
  5. Applicant returns the check form.
  6. Process continues.....

Once the check form is prepared, the workflow needs to periodically check to see if the applicant has picked up the check form.  If the form is not picked up within 7 days, I need to send an email reminder to the applicant.  If the form is not picked up within 14 days, the applicant will receive a cancellation notice, and the workflow will be set to the "completed" state.

Likewise, once the form is picked up, the workflow needs to periodically check to see if the applicant has returned the form.  As before, if the applicant has not returned the form within 7 days, an email reminder will go out.  If the form is not returned within 14 days, the applicant will receive a cancellation notice, and the workflow will be set to the "com

Sending an workflow email with image

I am trying to include an image in an email that I am sending out from Sharepoint designer. I have followed the below instructions from Microsoft's site and all I get in my email is the text. Workflow sending old server name in email


I recently migrated from SharePoint 2007 to SharePoint 2010 using the database attach method to a new server. Server has different name than old server. The migrated sharepoint site collection has been working great. I decided to try workflows (we hadn't used any in MOSS 2007). I added a new workflow to an existing library using the "Approval - SharePoint 2010" reusable workflow. When I start the workflow on a document that needs approved, the approver gets an e-mail stating that a document has been changed (he must have alerts configured for that library). However, URL that the e-mail displays is wrong! It showing the old server name instead of the new one. I browse to the library on the OLD server (which is still online for testing purposes) and that document definitely does not exist in the OLD server library.

Can someone point me in the right direction to troubleshoot? I'm green at SharePoint administration. I already checked DNS and ensured that there were no leftover entries for alternate access mapping names.

Workflow or Time Job for email reminder on Tasks List in Share Point 2007


I need to send a reminder to the person whom a task has been assigned 3 days before a due date. We also wants to re-use this workflow/time job on other lists as well. Name of the lists can be different??


Also if the due date gets change it should change the reminder accordingly.

Which approach i should take to achieve this?? 




Workflow keep sending emails!



i customized a workflow using SPD and attach it with a List, the trigger was when a specific item field changed, send an email.

the problem is the workflow keep sending the emails repeatedly . i deleted the list item, i even deleted the workflow itself from the Settings >> Workflow settings, i cleared the SPD workflow cashe, and it still sending the emails!

appreciate your help..

Email notifications from Approval workflow

I currently have an issue with an out-of-the-box workflow; in essence it relate to the workflow author/originator NOT receiving an update once an approval or rejection has been committed.

A task list has been set up to receive *status* updates everytime an workflow action is committed whether that be initiation/approval/rejection/completion.  Everything appears to work APART from completion and the issue of an email notification to the workflow owner.

I have checked the logs on the Sharepoint box itself and appear to be fine.

I have checked the logs on the Outbound SMTP server and everything is OK upto to the point of completion.

I need some advice on what else I can do/check to verify IF the email notifications are being created by SharePoint; what in the logs within Sharepoint I can further check (diagnostic is not set to verbose - ALL) and what ELSE can be checked on IIS/Outbound SMTP server...

Any advice would be much appreciated...

Sending a status email with a workflow from Sharpoint 2010 once


Ok- this is probably not hard it is just early and I cannot seem to figure it out. I have a form that has a dropdown - if there is a certain option selected in the dropdown I want someone alerted. This is working fine.

What I am trying to figure out is - let's say the status is "completed" and I want them to get an email and the do. But now someone else goes in anc changes some other field but the status field still says "completed" and as you can guess the third paty gets another email. So I need to send a status message for the completed status once - not multiple times.



Sharepoint 2010 workflow not sending email


I have a workflow that is expected to create a task and also send email.

i can get the alert when the task is created. but the workflow does not send email. i get the following error in workflow history.

"The e-mail message cannot be sent. Make sure the outgoing e-mail settings for the server are configured correctly."

please can anybody help me out?

SharePoint custom workflow sending duplicate task assigned emails


I'm running into an issue where a custom sequential workflow I've built in VS2010 is sometimes sending duplicate emails to the user to whom created tasks are assigned. Note: this is a Site workflow not a List workflow, in case that matters.

It's a pretty simple flow: i've got an InfoPath initiation form, and am using an OnWorkflowActivated workflow action to take the data from the form and popluate some workflow variables, then I've got a CreateTask workflow action that sets the AssignedTo value on the Task Properties, along with some other Task Property values.

The task gets created successfully in the task list, and in most cases a single email goes out to the person the task is assigned to. However, sometimes (and I haven't been able to figure out what is causing the difference) up to 3 duplicate messages are sent out, as well.

I've seen other posts in the forums where this sort of thing is happening with OOTB workflows ( this thread, for example: http://social.msdn.microsoft.com/Forums/en/sharepointworkflow/thread/66f94e07-a690-4166-aaeb-b7f5bc424fe4?prof=required). However, duplicate tasks are not being created (unless I'm missing the duplicates somehow -- they're not showing in the task li

SharePoint workflow sending email to wrong person

Hi, I have a workflow that sends an email to the person that created the form whenever a change is made.  All has been working fine but one email has been sent to a completely random person rather than the user that created the form.  (e.g. K Pauls created the form and K Pauls name is in the "Created By" field within the form but H Walker got the e-mail).  H Walker is not included anywhere in the form but is listed in the automatically populated "Created By" Column.  Any clues?

Send Email with HTTP file attachment - Workflow is sending garbage in attachment



I'm having an issue with a customized workflow when I send an email with an attachment. I am using the "send email with http file attachment" that I have downloaded from CodePlex. Unfortunately all attachments that come through are full of garbage. This includes .jpg, .pdf, and .txt. From what I can tell with the .txt file is that its contents has been replaced with what appears to be the html of the list page. Both the .jpg and .pdf fail to open complaining about corrupt documents. All documents can be opened fine from within sharepoint. 

Can anyone of you guide me in this regard, as rest of my  workflow logic is working fine but this attachment issue is ruining the end result.


Sharepoint Designer 2010 workflow - sending workflow email hyperlink to item

I have a simple request. I have created a InfoPath form which I have published to SharePoint (all is well)

I have created a workflow using SharePoint Desinder and this workflow send off an email to a user , I have pasted the link to the document library in the email but would like the user to open the form from their email and not go to the document library

 Can somebody please advise


Task reminder workflow using sharepoint designer


Hi ,

I have created a workflow to remind the tasks created. The workflow is triggered when a task is created or when an item is changed in the task. The workflow stops even before the condition is achieved(my condition is the workflow keeps sending mail everyday until the task is completed.).

I used sharepoint designer to create this workflow. Is sharepoint designer the best pick for such kind of workflows. The workflow should keep running whenever an item in task is changed until the task status changes to completed.

Under "Sending a File Using Email" section what exactly is the code trying to do.

1: The SendFile.cshtml does not have any option to select file.

2: ProcessFile.cshtml is running fine. I am getting the email but no attachement.

I tried changing fileAttachment input to type="file" but not file is being sent to my email. I just get the message send in body.

Question: How exactly this file attachment works using Email Helper in WebPages.
