SharePoint Foundation - Workflow user has tasks assigned then leaves the company - How to assign to

Hi all,

if a user leaves the company and has workflow tasks pending whats the best practice for assigning them to another user without terminating the workflow.

I have tried renaming the account which allows the user to continue even though the tasks still display the original username.

I guess there are a couple of questions that arise from this.

1. Using SharePoint 2010 Foundation the SharePoint user accounts don't seem to re-sync automatically with AD after a rename, so how can this be done?

2. If we decide to create a new user, how do we assign the new user account to replace the leaver in the workflow without disrupting the flow?

Thanks for any help, can't find anything on the web about this.

SharePoint Workflow and Permission Problems - User cannot edit assigned task

I've seen numerous posts on here talking about the same problem we're having, but the solutions listed in those do not work for us. So I apologize for reposting this subject, but we're getting desperate.

We have a custom workflow that is assigning a task to a user, then that user is clicking "edit the task" and getting access denied.  We've broken permission inheritance on the document library where the workflow is kicked off, the task list, and the workflow list (accessing through permissions in SPD) and given the user having the issue full control of these lists and libraries. This results in the user still getting access denied. When we add the user to the Owners Group of this particular site, the user can edit the task with no error message. This isnt' a solution of course as we cannot have the user in the owner's group.

We have custom workflows on several of our SharePoint sites and have never had this problem before. We've now spent a combined total of 6 hours on the phone with Microsoft Support and no one can tell us what the problem is. Help!

SharePoint leaving Assigned To field blank in a Workflow Task



We are having an issue with occasional Tasks being created by a WF that have a blank Assigned to field.  Solution consists of:

  1. A form with a People picker field that allows the user to select and validate the Authoriser name.
  2. An Auto-start-on-New SP Designer workflow runs that does a "Collect Data from User action" and assigns the Task to the Authoriser.

Unfortunately, although this worked fine during dev and test, now the solution is live and we are having 150-200 requests per day, we are finding that the WF occasionally fails to fill in the Assigned To details when it creates the Task. (approx 8 failures per 200 requests, ie 4%).

As SharePoint already has the User data field, I am confused why this might fail, and there is no obvious pattern (same auth, 4 work OK then 1 failure). 
Does SP contact the AD again when it creates the Task?

Anything else I should investigate? any suggested fix / work-arounds?

Is there an user manual for Sharepoint Foundation 2010?  We downloaded this product in order to create an intranet for our firm, but the software is NOT intuitive and does not provide clear click-by-click instructions on how to do this.  We need an instruction manual asap, that includes a sub-section on how to easily design and create an intranet.  Thank you. 

SharePoint 2010 email enabled list with workflow has incorrect User ID when items are emailed to the

I have set up an approval workflow for a document library that has email enabled. Emails come into the document library fine, however, if an item is emailed to the library the workflow kicks off with the initiator as "System Account" rather than the person who submitted the email. This makes the error of "The e-mail message cannot be sent. Make sure the e-mail has a valid recipient." come up. If someone submits a document directly to the library (by logging into sharepoint and submitting) everything works fine. The person submitting by email is a valid sharepoint user and the profile shows the correct email address. The Created by and Modified by fields show the correct person (rather than System Account), it's only the workflow User ID that shows incorrectly if document is emailed to library. Any help or ideas would be appreciated. Thanks

Is there a way to assign a "USER FRIENDLY" name to an "ASSIGNED TO" TASK List?

I'm starting to develop simple TASK lists, to assign tasks to a team.  Unfortunately, I'm finding that the ASSIGNED TO field wants to populate user names with a NETWORK-Style name (i.e.,  mycompany.com\jsmith  ), instead of a preferred user name (i.e., John Smith).  The descriptive user name DOES show up for a few users, but not most. I figure that there must be something buried in some user roles/permissions, at some level - but I am still having problems with navigating around the Sharepoint neighborhood to find the options that I want (if they exist). I'd very much appreciate assistance with something that could, I hope, be rather simple. Thanks,

MOSS 2007 - SharePoint Designer Workflow failing when using group vs individual user

I am creating a simple workflow in SharePoint designer that will email a selected user when a list is modified.  I am applying the condition "if modified by" in Designer.  This condition works fine and the email is sent when I select a specific user myDomain\username.  It does not work when I attempt to associate a SharePoint group with the "if modified by" filter. In my example the list has only one SharePoint group associated with it, this is the only group with permissions for the list.  The group contains multiple users. The workflow is successful with the following scenario: if modified by myDomain\user1 or if modified by myDomain\user2 The workflow fails with the follwoing scenario: if modified by mySharePointGroupName  (which includes myDomain\user1 and myDomain\user2) This would be an ungodly if statement with a large membership SharePoint group.  This would also be a nightmare as people leave the organization and their account credentials are left in the large if statement in the workflow.  Looking for the modified condition when associated with a group seems like the logical way of doing this. I also tried "myDomain\domain users" which accounts for all user in my domain, this failed as well. Any advice would be greatly appreciated.

How to get current user in an action of a workflow (without .NET coding) in SharePoint Designer


Does somebody know how to get current user (logon user) in an action of a workflow definition from the Sharepoint Designer 2007. I know how to do it by using .NET coding, but it requires to upload a dll to the bin directory of the application which is not an option due to my company Sharepoint policies.

Sharepoint Server 2007. Sharepoint Designer workflow not starting for one user only.


We have created a custom workflow in SPD that is attached to a document library within a MOSS 2007 teamsite.

The workflow is set to trigger when a new item is created in the document library.

Previously, the workflow has worked fine for all users but recently has stopped working for one user only.

For the problem user, what we are seeing is that when a new item is created in the document library, the attached workflow never starts.  There is no error, the workflow just does not get triggered.  However, if the problem user goes to an item in the document library and clicks on the workflow she can manually start it and it works fine with no error.

This user has the same permissions on the site as others who do not have any problem.

In the course of investigating this problem, we have temporarily increased the problem users permissions on the document library to full control (was contribute before) but this has had no effect on the problem.  Authentication is being done via Active Directory.  We have tried removing the user from the site and re-instating her but again this has no impact.

Does anyone have any idea how we could fix this problem or further debug it?

Cannot set a user column to SHAREPOINT\system by workflow?


I created a list item programatically. So the workflow assoicated with the item will not start automatically. I started the workflow then by codes.

However, in this case, the workflow can not update a user column of an item in another list to the modifier of the item created by codes. The modifier is SHAREPOINT\system.

I can do this through SharePoint UI, the user will change to {domain}\Administrator automatically after I put SHAREPOINT\system. So I have to modify my workflow to assign administrator explictly in this case.

Two questions:

Is it a bug of spd workflow? both SHAREPOINT\system and {domain}\Administrator has full control to all the lists.

Or is there anyway to specify who starts the workflow programatically?


Sharepoint Foundation: Edit Three-State Workflow


Hi, can one edit the out of the box Three-State workflow through Sharepoint Designer?
We are using Sharepoint Foundation and the Three-State workflow doesn't appear under Workflows in Designer, although it is available as a template in Foundation.

I would like to see how that workflow was created to help me in creating my own custom workflows.

I created a New Task List and managed to get the WF to create a task after an Event was created in a Calendar. But I am not sure how to create a second Task after the 1st was completed.

Anonymous user to view Entire Web Site Access.I have used the Default Search which is Available in master page,

When i search the It does not allow search for Anonymous user to search. I really do not understand to fix this Problem .

SharePoint 2010 Workflow - Creating multiple tasks

I'm working on a SharePoint 2010 workflow which will assign multiple tasks to a list of users.

I'm using the Multiple Tasks webcast from Scot Hillier as a guideline

I've created the custom activity to create a single task, and used a replicator to start the this custom activity for every user.
However, the sub-activities in my custom activity are not shown(as opposed to webcast).

[Sharepoint 2007] How to loop few tasks/activities in Visual studio workflow designer ?


Hi all,

I would like to create a workflow which have 3 tasks.

First the workflow create a task and assigned this task to a user. The user has to choose 4 dates in the year.

For each date chosen of the year two tasks will be created. The first task will ask the user to arrange a meeting.

When the first task has been completed a second task is assigned to the user asking for some feedback of the meeting.


How can i loop these 4 dates easily ?




How to assign the first workflow step to the user launching the workflow


I need to be able to launch a workflow and have the first step assigned to the CurrentUser. The workflow user list only takes named users.

I cannot user Visual Studio since I need to allow the user to add or change workflow tasks members

Hi all,

I'm new to doing workflows and i have created a rather straight forward one to manage a leave calander list (Custom List) in SharePoint Designer. 

Here is a baisc overview of the workflow,

  1. User Submits Request -> Gets Email Notification -> Approvers Recieve Email Notification and Assigned TO-DO task
  2. If( leave is approved)-> {conf email to user and email to HR to inform them} else if (rejected) -> {conf email to user}

However the issue that i am having is that the work flow with automatically fire until the TO-DO task which will sit "not started" in thee workflow task list until it is completed manually. When the rest of the work flow will continue along happily.

My question is do i need to run another workflow on the workflow task list or is there a way to force a to-do task to auto complete?
