Document Workflow Approvals have disappeared

I had planned to use the approval workflow as a substitute for having to collect signatures.  However, I have an issue where a previously completed workflow (OOB Approval workflow) has somehow been deleted from a document.  This has happened to 3 different documents.  The workflows ran and were completed (ending in approval) over a month ago.  I previously had added in the column showing approval to my document list view, which is how I realized something was wrong.  Early this week when I went to that library, those previously showing "Approved" were now blank.  I checked each document's associated workflows and all showed that there were no completed or in progress workflows.  As far as I know, no one had accessed the documents.   The only unusual thing is that I did receive a couple of automatic emails from SharePoint stating that some tasks on that site had been deleted, but for "Modified" it shows "Unknown" and the modified time is after midnight (see below).  It seems like it may be related, but I'm not sure.  Does anyone know what would cause this, how to prevent it, and whether the "lost" approvals can be retrieved?

Sharepoint Workflow To Shoot Email Only When Folder Is Created In Document Library

Hi, Can anyone help me with the below issue, I am facing this from so long and didn’t figure out solution yet for the same. :( I want to send an email through SharePoint designer workflow only when a folder is created in document library (not file uploaded/updated event). Please provide me solution about how I can achieve this through SharePoint designer as don’t have enough coding acquaintance.

SPD workflow status show "starting" when I create a document from the library !!. and hangs

I have a document library in MOSS 2007. Have created a WF and that starts "autmatically when new item created" In the document library I have created couple of column those are mandatory (required columns) and user has to fill those column while uploading a document as well creating a document from library. WF has ran and completed succefully  when I use "upload" option to load a document.  As you are aware, when we "upload" a document, we will have to fill all "required columns" and the click "check in" command button.  After I do all this, document get loaded and WD ran succesfully. However, the WF is not running when I create a document (.docx) from this library (using "new" button) !!.  I have filled all required field in the document information panel . After save & exit from WORD application, I can see WF status as "starting". But, it never started and completed.  So I did following and found WF worked !! a) After creating document (.docx) using "new" option I found WF status "starting"!. So,  I did "Check-out and Check-in" manually from document library. After doing this,  WF ran and status has been changed as "completed" b) In SPD, I change workflow start option from "Automatic" to "Manually start".&nb

About document set workflow in Sharepoint Designer

Hi all, May I ask if it is possible to create a workflow to a 'document set' in designer in order to assign an user to approve the document set? In designer, I selected the document set approval action and it shows "Start Approval process for the contents of this Document Set with the users specified by this column" But I have no idea what should be inputed into the 'this column' field. I know this can be done without using designer, but designer allows me to do further actions to the workflow and so I have to find out the answer. Thanks!

Workflow data missing from Document Library

Hi, We have this strange situation where the workflow status is missing from document library views. Here is the situation: I have a Document Library with 3 OOTB approval workflows configured to start manually. Process is that user uploads a doc, start the first workflow, once it gets completed starts the second, and so forth. Now if I check the All Documents view of this Document Library, I can see these three workflows have 3 columns and that shows the status of the workflow - say "In progress", "Completed" etc. Now our users who use this document library and workflow complains that they cannot see these status of the workflow after some days. If a workflow is completed and status shows completed there, but after some days that column is blank. I've checked the modified data for the documents and this issue according to the user happens to documents that was uploaded 2 weeks back too, which means this doesn't happen to old document only. This document library has Major and Minor versioning enabled. Why does this happen, does SharePoint remove data for completed workflows? I checked the document's workflow page and its empty; nothing under running workflows and nothing under completed workflows. Creating a workflow condition based on document type

Hello! I'm creating a workflow for a Document Library. I only want the action in the workflow to be executed on the condition that the document is of a certain document type. Any suggestions how I should do that? Thanks!

Document Workflow Issue

I have started to see some irregualrities in my document workflow setup whereby a user will recieve an email to say they have started the workflow on their dcument that they have uploaded, within this email there is a list of 3 reviewers, but now these reviewers are not being listed, i have looked in the event log and i have loads of event id 3083 which states: The protocol handler Search.Mapi2Handler.1 cannot be loaded. Error description: Class not registered Any ideas?? The event id`s i have seen are 6875, 3083, 1516

Sharepoint 2010 Workflow to copy a document

I want to create a workflow where: When a document is modified, it is copied to a new folder. I can do this with the "copy list item" action, but it only allows me to select certain lists (document libraries for example), instead of being able to give a full pathname to a folder.  What's the correct action to copy the Current Item to specific folder within the same library.  Or alternately, to create a list that IS the correct folder. Is it possible to use a webpage form in the workflow process instead of using a document?

We need to move our current IT work request form to sharepoint workflows.  The reason for this is because we need to be able to have an approval process for non-managers who fill out the IT work request form and then submit.  How do I get started adding a webpage to the approval process in workflows?  I'd like it to work exactly how adding a document, from the document library.  If it is possible, can someone direct me to a tutorial out there or give me some insight? Completing Workflow on Document Save


I have a Workflow on a document library that is triggered when a new item is added and when an item is changed. The workflow alters the title of the document to add specific metadata that would be tedious (as well as adds certain other metadata).

The workflow completes successfully if a document is opened and then closed. However, if the document is opened and then saved and then closed, the workflow shows as having been stopped, and the title isn't changed nor have any of the other fields been updated.

If the document is opened and saved, but not closed, the workflow stops as well.

Any ideas how to make the workflow complete if the document is still open?

Question about Workflow in Document Library with version control and check-in/out enabled



I use Sharepoint Foundation 2010 and have a workflow to set some metadata in a document with version control and check-in/check-out enabled (approval content is not enabled because anyone in the team can be a possible editor of the document).

My metadata is:

- a generated doc id with text+id (example P&D_1)

- a calculated status based in version: minor version = "on development" and major-version="published/approved"

I defined two workflows:

1) is called when item is created to define id and status.

2) is called when item is updated and status is re-calculated if version is major. (It is called in every item change, not only when user wants to publish a major version, because this option doesn't appear in SPD)

I noticed that sharepoint workflow must do a check-out to be able to update metadata, and because of this the version number is incremented. When version is minor, I don't care, but when version is major I have a problem, because just after publishing the version 1.0, the workflow changes metadata and the version to 1.1. and 1.1 means that the document is not approved anymore...


a) Isn't it possible to do the workflow to check-in and override the last/current version to not generate a new version??

b) Or is it possible to stop versi

SharePoint Workflow : Failed to Start when a document is added to library from server-side object mo


When I add a document using my server-side object model code, I get an exception "The type or namespace name 'Office' does not exist in the namespace 'Microsoft'" in the server logs and in the library I can see the Workflow status as "Failed to Start".





Interestingly, when I add a document to the same library from sharepoint site portal, it works just fine, the workflow kicks off with the state : in-progress.

Also, I modified the task form for the Approval workflow template from SharePoint Designer using infopath.(Not sure if that be a problem as adding from portal works fine.)

What am I missing out here??

Trying to generate dynamic link to a document within approval workflow email message


In the out of the box approval workflow, the fields below are used to dynamically create a link within the email for a user to access the item/document to be reviewed:


Review [%TaskProcess:Item Title%].[%Variable: InternetLink%]

If I create an approval workflow and modify the text around what comes out of the box, the link works.  If I add those exact fields (period and space included) via the "Add or Change Lookup" box (field selector), it doesn't work. It displays the title as a link but without a document extension of XML (for Infopath form for instance).


I don't want to have to delete my workflow and recreate it just to get that link to work.

Any ideas on why the "[%TaskProcess:Item Title%].[%Variable: InternetLink%]" only works when it is created out of the box versus building the string manually ?

Workflow doesn't kick off from document created by Excel Services



I have a workflow created that should pop up when a new item is added to a list.  This works fine if I just add a new item to the list manually.  It also works fine if I start the workflow manually, but it defeats the purpose.  All the workflow does is assign a few tasks, send a few emails, and change the permissions for the document.  As a reference, I created the form in InfoPath with excel services calls and I created the workflow in SharePoint Designer 2010.

However, my list is mainly populated by Excel Services calls - opening a workbook and calling SaveWorkbookCopy - and for some reason, these calls do not kick off the workflow.

I tried changing my account (because the documents appear to be created by me) to a system account, but then it doesn't kick off anything.  I tried changing the Web App user to a System Account, but it still doesn't work either.

My workflow shows: the "Failed on Start" error (says it was canceled by System Account) and when I look in the logs it shows:

Document Set - SPD Workflow - Copy Document Set from one DocLib to another


Hi All,

Env : SP 2010 Enterprise - SPD 2010.

I'm trying to make a SPD Workflow that must copy a Document Set Item from one document Library to Another and it doesn't Work. 

I'm using the Copy List Item Action in My WF and when it runs, an error occured : "The workflow could not copy the item. Make sure the source and destination lists have the same columns and column settings."

Does Someone already get success for Copy Document Set from a Library to another ?
