Metadata won't apply to one library item

Posted By:      Posted Date: April 10, 2011    Points: 0   Category :C#
We have a doc library we have been using for a short time.  I just added a new column for metadata and am going back into the few dozen docs in the library to Edit Properties to add this metadata.  I have one library item that will not retain this new metadata when I apply it.  I even tried deleting the library list item, and re uploading it.  This did not work to solve the issue.
There are no mistakes; every result tells you something of value about what you're are trying to accomplish.

How to maximize use of managed metadata in the document library?

We are creating new Intranet portal based on SharePont 2010 and we have document library with 100-200 documents. Old Intranet is based on previous version of SharePoint. End-users did not like the usability of the document library as it was hierarchical. Users needed to know, which was the folders and its subfolder to find out where is the document. We are currently investigating if we can solve this problem by using managed metadata. We know how to define term set and how to give metadata to the document, but we don't know what is the most usable way to utilizem them in the document library. Let say that end-user would like to see all documents that has managed metadata "User Guide". How to configure document library so that users see only those documents. Not all our users are skilled and we have to provide very intuitive way to search relavant documents to them. Some predefined metadata dropdown would be great.Kenny_I

Creating a new document in Document Library from custom menu item (in the ECB)

Hello! I created a custom menu item in the ECB for a document library. I'd like for this to create a new document from this menu item. Additionally, I'd like to create a workflow where the Title of the document from which the menu action originates is inserted into a custom textfield in the new document that is created. Is this possible using SharePoint Designer?

Can Managed Metadata columns be edited in the DataSheet View of a Library or List?

Hi, I like to mass set document properties in a library using DataSheet View, the properties are columns based on Managed MetaData values. When I open the doc library in Datasheet view, those columns become read-only. I made sure the library does not require 'Check Out' and also tested it in other views then the AllItems view. Can someone confirm what is the expected functionality and or if there is a bug?

Item/Document permissions affect Library/List permissions

When I change the permissions on a item/document in a library/list the permissions are also changed on the library/list even though I stopped inheritance.  When I change the permissions on the library/list it also changes permissions on items/documents in that list even if inheritance is removed.

Using Workflow to create an InfoPath item in a Forms Library

Hi Experts: Here is my situation: I have a MOSS 2007 server with list A (regular sharepoint list) and List B (InfoPath form library with a published form) This is what I am trying to accomplish using SharePoint Designer: List A is just a basic list User changes a column in list A to a specific value A new form needs to be added to the forms library B SharePoint designer Workflow will not create a valid xml file in the List B forms library. It just creates an invalid file based on the .xsn file template. Does anyone have any experience creating a valid xml form in a forms library using SharePoint Designer workflow? I can't migrate to 2010 so that is not an option. Thanks for all your advise.

how to create a doc library item using web service

Hi, I think this is a common question, but I coulnd't come up with anything at this point. I'd like to create an item in a document library using SP web service. - no uploading a file. I have created an item using ../copy.asmx web service. Using the WS function(copyWebService.CopyIntoItems function), it seems suitable to create an item AND at the same time to upload a file. I don't think I can just create an item with this function. How do i just create an item? any reply is appreciated.

Use VS to copy an item from 2010 library to a 2007 library?

In short: Is it possible to use Visual Studio to copy a Document Library item from a 2010 environment to a 2007 environment? In long: We are going to be upgrading our Sharepoint servers from 2007 to 2010, but we currently have custom workflows where we copy items from one server to another.  The destination server cannot be upgrated to 2010 for at least 2 years.  I'm really hoping this is possible, otherwise it could get real ugly around here.

Multiline text field in document library and item update from Word trouble

Hi I have faced a bit of odd problem. Here is the scenario: I have document library with text columns (multiple lines of text) that are set to unlimited length. I have a workflow that runs with Word documents (.docx) that stores information in XML to this field. Everything works perfectly until document is edited in Word and saved back to document library. After Word saves my document in document library, the multiline text field is "cutted", only 7 rows of text is saved to my field. I have tried hiding my text field, making it sealed or readonly, but still Word breaks my field. Funniest thing is that when editing document in Word, this field should not have any changes (meaning that I dont show my "long text field" in document information panel back in Word). I have tried also creating event handler to handle itemupdating event in document library where I switch spweb.parserenabled property to false and in itemupdated event I switch it back on. Also I have tried to remove all line changes from XML with no luck. This XML saving to long text field works perfectly with many other places but in this one environment this does not seem to work :( I am looking forward to any suggestions what to try next. I have been wondering about using the eventhandlers and trying to "protect" my text field with some logic but that is still just a thought.   T

New Item Added to List/Library trigers Alert to non-AD Security Group

I am trying to implement an alert when a new item is added to a list. Idealy this alert would be sent to either a SharePoint Group or a AD Distribution Group. I do not have access/authroization to create security groups. The research I have found so far tells me that I can only add AD users and AD mail-enabled security groups through the alert GUI. My questions is first is this a valid finding? Second, if I create a custom workflow can I have the workflow triger on new item added and have it send a notification to the specified SharePoint/Distribution group? Thank you in advance for your assistance.

Is it possible to dynamically create Name (file name) when item saved to Doc Library?

Even though users have been instructed on a naming convention for saving documents to a library after creating a new one  from the library template, they forget or don't understand.  I would like to have the Name column (which is taken from the file name that it is saved as)  in the Document Library be a concatenation of other document meta data elements.  Is this possible?  In other words, is it possible for me to dynamically save the document with the correct file name as a Workflow action (in a Designer created workflow)?  I tried it, but without success.

How to get Metadata from document library into a document

I have a client who wants to have metadata captured for a document in a document library exported into a Microsoft Document.  Does anyone know how this may be achieved?

Thank you for your thoughts and comments.
