SharePoint leaving Assigned To field blank in a Workflow Task

Posted By:      Posted Date: August 27, 2010    Points: 0   Category :SharePoint

We are having an issue with occasional Tasks being created by a WF that have a blank Assigned to field.  Solution consists of:

  1. A form with a People picker field that allows the user to select and validate the Authoriser name.
  2. An Auto-start-on-New SP Designer workflow runs that does a "Collect Data from User action" and assigns the Task to the Authoriser.

Unfortunately, although this worked fine during dev and test, now the solution is live and we are having 150-200 requests per day, we are finding that the WF occasionally fails to fill in the Assigned To details when it creates the Task. (approx 8 failures per 200 requests, ie 4%).

As SharePoint already has the User data field, I am confused why this might fail, and there is no obvious pattern (same auth, 4 work OK then 1 failure).
Does SP contact the AD again when it creates the Task?

Anything else I should investigate? any suggested fix / work-arounds?

OOTB Approval Workflow SharePoint 2010 - Blank "Requested By" field appears in Task Item edit/view f

SharePoint custom workflow sending duplicate task assigned emails

I'm running into an issue where a custom sequential workflow I've built in VS2010 is sometimes sending duplicate emails to the user to whom created tasks are assigned. Note: this is a Site workflow not a List workflow, in case that matters.

It's a pretty simple flow: i've got an InfoPath initiation form, and am using an OnWorkflowActivated workflow action to take the data from the form and popluate some workflow variables, then I've got a CreateTask workflow action that sets the AssignedTo value on the Task Properties, along with some other Task Property values.

The task gets created successfully in the task list, and in most cases a single email goes out to the person the task is assigned to. However, sometimes (and I haven't been able to figure out what is causing the difference) up to 3 duplicate messages are sent out, as well.

I've seen other posts in the forums where this sort of thing is happening with OOTB workflows ( this thread, for example: http://social.msdn.microsoft.com/Forums/en/sharepointworkflow/thread/66f94e07-a690-4166-aaeb-b7f5bc424fe4?prof=required). However, duplicate tasks are not being created (unless I'm missing the duplicates somehow -- they're not showing in the task li

SharePoint Workflow and Permission Problems - User cannot edit assigned task

I've seen numerous posts on here talking about the same problem we're having, but the solutions listed in those do not work for us. So I apologize for reposting this subject, but we're getting desperate.

We have a custom workflow that is assigning a task to a user, then that user is clicking "edit the task" and getting access denied.  We've broken permission inheritance on the document library where the workflow is kicked off, the task list, and the workflow list (accessing through permissions in SPD) and given the user having the issue full control of these lists and libraries. This results in the user still getting access denied. When we add the user to the Owners Group of this particular site, the user can edit the task with no error message. This isnt' a solution of course as we cannot have the user in the owner's group.

We have custom workflows on several of our SharePoint sites and have never had this problem before. We've now spent a combined total of 6 hours on the phone with Microsoft Support and no one can tell us what the problem is. Help!

SharePoint Designer 2007 Workflow needs to initialize lookup field value and store it

This is for a governance tracking list. I have two tables: Roadmap and Roadmap Status In Roadmap, there are two fields of interest that are lookup fields to Roadmap Status:Title they are Status and OldStatus When an item is entered in Roadmap, I want to force the initial Status to "Submit" from Roadmap Status. I don't see any way in my workflow to to lookup that item in Roadmap Status and place the pointer (I'm assuming it is a GUID) into the field. The value is also stored in OldStatus to catch changes as I'm trying to force order of status in a few cases but not all. I'm doing it with a Lookup instead of Choice because the business tends to change the terminology they like and this way I don't change it in several places plus it allows them to change it in the list instead of someone changing the list field values. I've seen several places on the forum where people have a similar problem and Lambert Qin has given an answer but it never fits this scenario exactly. Do I have to go back to Choice columns? I only have Designer and would rather not have to learn another tool for a simple SharePoint implementation. Thanks for any help!

Task assigning in Sharepoint workflow

Hi, I am designing a workflow in SharePoint designer. I have created an approval task process (Start Approval process) and assigned it to a SharePoint group. The requirement is when the task is assigned to a group, if the group has got only one user it should appear under "My task" for the user and not as "My Group Task". If the group for with the tasks has been assigned has got more than one user, the task should appear as "My Group Task". I would not like to hardcode the user ID on the workflow since it would lead to redeployment of workflow every time the user changes the department. Therefore I have created user groups for each department and users are assigned to these groups. Please assist me building up the logic. Thanks. Regards, Sriju

How to override the style values in a sharepoint workflow task form

I've created a aspx task form, and it's working as planned.  However, the window that is popping up when the task form fires is too small, and I would like to set the initial height/width to my own values.  How do I override the standard sharepoint css/style values so that I can control the size of the task window?

SharePoint Workflow: random error task rollback

I get "Reason: The user who attempted to complete the task is not the user to whom the task is assigned." as the error occured, but this only happens randomly, roughly 50% of the workflows error out with above error with no apparent rhyme or reason as to what causes it to error.

Notice creation by a secretary fires off the workflow, which then gets approved by the attorney, and then it errors with above message, but only 50% of the time and in apparently random order.

Custom Task form of a SharePoint Designer workflow is not displaying correctly

We have created a custom workflow using SharePoint Designer. We are using one action “Collect Data from a User”. As you know, this action sends an email to a user with a link to a task form where user is supposed to accept or reject a request. We are encountering following issues with this form:

  1. Form is not a workflow form, it is a task item of the task list that the “Collect Data from a User” action of the workflow creates.
  2. Form opens as an item of the workflow task list in View mode (DispForm.ASPX) instead of Edit mode (EditForm. ASPX)
  3. When user clicks on “Edit Item” button, it displays all the fields of the task as editable – we want only the Approve/Reject option buttons and the comments TextBox (that we created during the workflow design) to be displayed as editable

Can someone please explain what is going on and how can we resolve the above issues?

SharePoint 2010 Approval Workflow email is not showing link to Workflow Task list

But I need to go to Workflow Task List by clicking 3 item "Use the Open this Task" , this is not a link here

or I want like "Edit this task to mark the task as completed."  Edit this task should link to Task List

How to assign values to workflow task person or group custom field?

Using visual studio 2008, in createTask_MethodInvoking, I have the following code. RequestFields has the values from the InfoPath form. ApprovingPersons is a person or group field, added to the task list by my custom task content type. I checked the task list associated with the workflow and I see the custom field.

SPUser user;
SPFieldUserValueCollection fuvc = new SPFieldUserValueCollection();
foreach (Contact person in RequestFields.Persons)
      user = workflowProperties.Web.EnsureUser(person.LoginName);
      fuvc.Add(new SPFieldUserValue(workflowProperties.Web, user.ID, user.Name));

// this is the line causing problem, I believe
PreApprovalTask_TaskProperties.ExtendedProperties["ApprovingPersons"] = fuvc;

I got the following error message:
