Run a workflow only when a 'Date' field changes

So I've found Stephen Howards presentation on how to send an email when a specific field changes and it is great:


The problem is that I would also like to initiate the workflow, resulting in an email notification, only when a Date field changes. Immediately I run into the issue that although it appears to be an empty field, the Condition 'Is Missing' is not available for 'Date Fields'. It appears that SP is defaulting what appears to be the empty date field to a value of 12/31/1899? Sometimes that Date field is empty on initiation and somewhat through the process too.

Any ideas on how to create an email notification workflow in SPD 2010, or 2007, only when a List-Item's 'Date'-Field is changed? For reference it is Date only, not Date/Time.

Updating a List item field value in a SPD Workflow is setting Date fields to null

Hello everybody,I faced a very weird behavior while creating a workflow in SPD against a Document Library.Here is the case:1- Create a document library in sharepoint site.2- Add a custom column of type DATE.3- Upload any document to the library4- Edit the item metadata and set the custom date field to any date you want.5- Now using sharepoint designer, create a very simple Workflow with only one action that updates the current item "Title" field to any value. (Note: In my case I set the workflow to start manually and not automatically)6- Save the workflow and then start it on the uploaded item.7- Now check the value of the date column after the workflow is finished.8- You will see that the Date field is Empty... (very weird)Notes:   1-This behavior will not appear on a standard list. it is only appearing in a Document library.  2- I am using WSS 3.0 SP2 + MOSS 2007 SP2. Workflow SPD: Set Today Date+Time to Column-field




I have a little question about settings specific today (Date + Time) value to a field/column within a workflow that is designed by Sharepoint Designer 2007.


I can manage to set the field to today() => but the time is always 00:00 houres.

I would like to set a specific field to the "exact" date+time when the workflow is running. (so choosing a fixed date+fixed Time isn't a solution either)


So I anyone could help me how I can do such "simple" task, I would be very pleased.






Workflow field not being added to list or views when adding a workflow


This problem just started happening in my entire site collection.  Anytime I associate a workflow to any list or doc lib the Workflow column that shows the status and links to the history is not beind added to the list or any views and is nowhere to be found.   Here's exactly what I'm doing:

1.  Go the List settings -> workflow settings -> add a workflow (for this example the OOB approval workflow)

2.  After adding I go to the List, the workflow column doesn't exist.

3.  I go to "modify view", and the workflow column is not listed in the available columns.

Any help is greatly appreciated.

Collect Feedback workflow hidden field


Hello all,

I am using the out of box Collect Feedback workflow.  It works well for most part.  However I would like to get reviewer's feedback to be shown on a Dashboard.  Is there a way to expose that information in a Data View?  I couldn't figure out which data field stores the feedback information.


SharePoint leaving Assigned To field blank in a Workflow Task



We are having an issue with occasional Tasks being created by a WF that have a blank Assigned to field.  Solution consists of:

  1. A form with a People picker field that allows the user to select and validate the Authoriser name.
  2. An Auto-start-on-New SP Designer workflow runs that does a "Collect Data from User action" and assigns the Task to the Authoriser.

Unfortunately, although this worked fine during dev and test, now the solution is live and we are having 150-200 requests per day, we are finding that the WF occasionally fails to fill in the Assigned To details when it creates the Task. (approx 8 failures per 200 requests, ie 4%).

As SharePoint already has the User data field, I am confused why this might fail, and there is no obvious pattern (same auth, 4 work OK then 1 failure). 
Does SP contact the AD again when it creates the Task?

Anything else I should investigate? any suggested fix / work-arounds?

how can I make field with date in format: dd/mm/yyyy ?

Calculated date field displays differently in List View and Data View web parts

In SharePoint GUI I created a simple custom list with a calculated Date/Time field (Due).  The calculation is =[Created]+7.  I'm trying to display this data on a page using a DVWP.  But first, for testing purposes, I also created a second calculated Date/Time (TestCreate) field in my custom list that is simply =[Created]. In the List View from within SharePoint, the dates show as expected (for example): Created = 8/12/2010 3:45 PM Due = 8/19/2010 3:45 PM TestCreate = 8/12/2010 3:45 PM In SharePoint Designer, I added a Data View web part and the above three data elements (each configured to display mm/dd/yyyy hh:mm:ss tt).  I see the time displayed for the example list item as: Created = 8/12/2010 3:45:30 PM Due = 8/19/2010 10:45:00 AM TestCreate = 8/12/2010 10:45:00 AM I've tested a couple scenarios and the calculated fields always display five hours in the past (along with dropping the seconds).  It seems like the DVWP is returning the date in a different time zone (with no seconds).  The lcid is set right (1033).  I didn't see any time zone settings for the DVWP specifically.  I'm basically stuck.  Could someone help me figure this one out. How do I format a date time field in a CQWP to YY-MM-DD ?

Hi. I have been trying to get the date-time to look good for some time now, but have failed. I have a Content Query web part that picks up article pages from a page library. The pages contains a field called 'article date'. I want to show just the 'Title' and the 'Article date'. Doing this default gives me: My title 10-09-03 00:00:00 I want it to be: My title 10-09-03 Is this possible? I'm starting to realize that I probably have to edit the xsl styles for this webpart but if thats the answer, how do I do that? ThanksThomas Balkeståhl - Technical Specialist - SharePoint

Workflow Instance ID field in MS Access

Hello, please help! When I open a SP list with MS Access (Action > Open with Access), the Workflow Instance ID field is available with no data.  How can I get this field to display so I can create queries within MS Access using joins/relationships?  Thank you!

Why can I not group by calculated field in Date format?

After migrating to SP2010 Foundation, I've discovered that for some reason I can't group a list by a calculated date field. Ex: Create a list with a date column A. Create another column B with a simple calculated date of [A]+1 and use the field format type 'date' Modify view to group the list by column B.  You're list will load, but when you attempt to expand one of the groups you'll be greated with an exception error. Why?? Am I doing something wrong? Note: You can group fine if the data type for column B is anything except 'date' format, but I really need to group items by a calulated date. Ultimately, what I'm trying to do is group my list items by week by calculating the end of the week using a simple formula =[Must ship by]+7-WEEKDAY([Must ship by])  then I want to gropu by the [Must Ship by] column like I always did in SP 2007, but now it errors out.  I also wanted to create my own timesheet template since the Fab 40 templates aren't available for 2010, but I can't really do that effectively without being able to group timesheet entries by week.

SharePoint Designer 2007 Workflow needs to initialize lookup field value and store it

This is for a governance tracking list. I have two tables: Roadmap and Roadmap Status In Roadmap, there are two fields of interest that are lookup fields to Roadmap Status:Title they are Status and OldStatus When an item is entered in Roadmap, I want to force the initial Status to "Submit" from Roadmap Status. I don't see any way in my workflow to to lookup that item in Roadmap Status and place the pointer (I'm assuming it is a GUID) into the field. The value is also stored in OldStatus to catch changes as I'm trying to force order of status in a few cases but not all. I'm doing it with a Lookup instead of Choice because the business tends to change the terminology they like and this way I don't change it in several places plus it allows them to change it in the list instead of someone changing the list field values. I've seen several places on the forum where people have a similar problem and Lambert Qin has given an answer but it never fits this scenario exactly. Do I have to go back to Choice columns? I only have Designer and would rather not have to learn another tool for a simple SharePoint implementation. Thanks for any help!

Apply substring to date field

I have a gridview that has a field called TargetDate which is formatted as dd/mm/yyyy.  I want to substring the numbers out of the date.  So basically remove the '/'.  How do I do that?  I can't just substring(0,2) because sometimes the date is single digits, sometimes 2 digits.  I am using vb.net.   thanks  

Workflow - automatically create discussion item using title field of of custom list item as its subj

Anyone any ideas as to how I can configure SharePoint to create a discussion item using the title of a list item. e.g. user creates list item on a custom list - SP automatically creates a Discussion thread for this list item in the discussions list. I'm guessing this can't be down OOTB . would I be looking at SPD or a coded solution ? regards, Counie

Problems with "Set Field in Current Item" in SP 2007 Workflow

I have created a workflow in spd 2007 that begins by comparing two lists and if the “VendorName” is the same on both lists, I then auto-populating four fields by grabbing the values from another list within same site collection by using the “Set Field in Current Item” action. I have recently discovered that I cannot set additional fields beyond these four fields. I have tried this on two different sites using the same action (i.e. set field in current item) and the result is the same – I cannot add additional actions of this type? To remedy this, I removed duplicate instances of the workflow via List Settings > Workflow Settings > remove dups, but no luck. Problems still persists.   What would be causing this? Has anyone run across this issue? Help!   Thank you in advance.
