External Data Fields in a Word Template saved as a content type in a document library with multiple

Posted By:      Posted Date: October 25, 2010    Points: 0   Category :SharePoint

I have created a Word Template for a Document Library that has an External Data Column in it of Client Name which also adds Client Address1, Client Address2, Client City, Client State, & Client Zip.  Now this works fine for a Document library with that template as the Template.dotx file.

I want to be able to make a bunch of Templates and have them all as Content Types in one Library.  When I do this I cannot get the External Data Quick Parts to work.

Anyone have any ideas?

URGENT: Document Library Content Type not inheriting some fields from parent Site Content Type

I have a situation that has foxed me!! I have a site level content type that has 8 fields... I use this to create more content types at the site level and use these in multiple Document Libraries (I have 40 doc libs).  This works fine for 38 of the libraries.  But for 2 of them... 2 of the columns are not showing up on the document libraries.  These are user lookups fields.  I am not sure why it's not working in these libraries only!  When I use the same content type in another library... the inheritance does not break for these fields!

Anyone please provide some guidance on this?  I am using WSS 3.0 and SPD to do workflows.

On another note... the content type has a template (in excel) attached to it.  When I create the content manually using the content type from the New menu option, the template is used... however, when I try to add it using an SPD workflow, it creates a blank template... the content type template is not being used.

Please help... I am in a fix and need to release this application today!!!

SharePoint 2010 External Content Type and InfoPath 2010 - Numeric data type fields missing in InfoPa

Connected SQL data table to SP 2010 ECT from SQL table.  The SQL table has several fields that have a type of "numeric(3,0)".  The SP 2010 list shows all fields form SQL.  When we open up InfoPath Designer and reference the SP List data (from SQL) all of our numer fields are missing from the available fields list.

I amd going to try another data type but that hardly feels like a solution.  If anyone has any ideas please let me know!

can you upload multiple documents (to a doc library) and set content type and meta data at same time

can you do this?  it doesn't seem like the dialogs support this functionality.  As an alternative i tried doing it in a grid type view after the fact but i couldn't get the grid view to show the content type, even worse, the grid view would let me add meta data to content types that didn't even have that column as long as it was in the view!!

Custom document library list template issues with custom content type

Either I don't know what SharePoint is doing or I don't know what I'm doing (or both, which is more likely).

I'm attempting to create a Custom Document Library template with a custom content type association (Custom Document), all using a feature. When I create
a document library based on the installed template, the content type association is there. However, when I click on New Custom Document, the template.dotx does not reflect the Custom Document content type association. The Word document information panel does not show any Custom Document content type properties (like Title and Comments).

Here are the steps I've taken:

1. Create the feature.xml with element manifests of contentType.xml and CustomDocumentLibrary.xml
2. Create the contentType.xml (Custom Document) with an additional field reference for Comments
3. Create the CustomDocumentLibrary.xml for the list template
4. Create a Custom Document Library subfolder that contains the same files that are in the 12\TEMPLATE\FEATURES\DocumentLibrary\doclib folder.
5. Edit the schema.xml to use the new content type and field reference
6. Deploy and activate the feature
7. Create a new "Custom Document Library"
8. Go to Custom Document Library Settings and verify the Custom Document content type is being used
9. Click on New Custom D

Content Type Properties/Fields on Document Template

I have created a content type and added some custom site columns to it.  I have also created a document template (.dotx) where I have added some of the columns as fields that appear in the footer and header of the document template.  In the Advanced Settings of my Content Type I have added the .dotx template as the template for the Content Type.

In a document library I added the content type.  When I create a document from the content type in that document library the fields on the new document do not get updated when I select different data for any of the columns in the Document Information Panel.

Even when I save the document and reopen it the data in the columns on the Header or Footer does not get updated so there is a discrepancy between the data selected on the DIP and what is shown in the Header or Footer.

What am I doing wrong?

Need to link multiple External Content List items to a single document metadata column

I have an external content list - for my purposes, the data isn't any fancier than a list of terms provided by a web service (read only - I don't need update/delete functionality). I want to be able to link any subset of those terms to a single document metadata column (in other words, I need it to work like a normal content list that is defined to allow multiple values in a column) but SharePoint doesn't let me do that on an ECL. I need the content list to be externally driven since more values are going to be added to an outside system over time, but I think it's possible that I may not need a full-fledged ECL list to make this work this way in SharePoint. Just to clarify: I don't need the metadata values in my documents to maintain a PERSISTENT link to the web service (if someone changes an underlying value in the web service DB, it doesn't need to be updated in the document table too). I just want SharePoint to offer up an updated set of source values from the web service if somebody goes in and edits the document metadata. Any ideas for how I can make this work?

How To "Upload a new document template" to Content Type via Web Service

I hope someone can help me. Let me begin by saying that I'm not a programmer; so I 'may' not get the terminology exactly right, but hopefully someone will know what I mean. I am using SharePoint 2010 along with a 3rd party application that I'm using for creating, managing and executing workflows.  The workflow application I'm using is Nintex Workflow 2010.  As such, I can only use functions, services, commands...etc...that are offered to me by that application. Anyway, what I am trying to do is simply replace a document template that is being used for a particular content type with another document template. For this I believe I need to use the Webs.UpdateContentTypeXmlDocument Method.  More information is provided here (http://msdn.microsoft.com/en-us/library/websvcwebs.webs.updatecontenttypexmldocument.aspx). The Webs.UpdateContentTypeXmlDocument method requires two parameters..."contentTypeId" and "newDocument". "contentTypeId" - I have got the Content Type ID by clicking on the content type and viewing the URL shown in my browser.  So, I am confident that my content type id is correct and is "0x010100C392CF11DE923A4E8AB9018B0A42119303". "newDocument" - The MSDN article states...'A string that represents the XML document to replace the existing XML document.".  To be honest, I'm not 100%

Document Library Not Refreshing External Data

I have a Document Library which has a column connected to an external list (BCS).  I have serveral columns that are displaying data from the External List.  When selecting the refresh icon on the column, I get the following message: Refresh successful. 0 item(s) were refreshed. 0 item(s) could not be refreshed. Contact your system Administrator. So after the refresh is completed,  the external data is not refreshed with the latest data in the database.  The only way I can get the data to refresh is by editing the item and the document library.  This seems to force the external data to refresh.  When viewing the external list, the data is refreshing like it should.  What do I need to do to get the external data to refresh in the Document Library? Also is there a way to make the Document Library refresh automatically without hitting the refresh icon.

Multiple Content Types in a single list - how to edit fields outside a content type

I have a single list and created two content types on the list in order to reduce the amount of visible fields a user sees when entering a form.  Once the form is filled out by one group with the limited data, an alert is sent to another team that adds to the list item using the larger set of fields defined by the second content type.  Unfortunately it seems that the edit burron remembers ihe initial content type that the entry was created with.  Is there another url to access the edit button for the same entry using the alternate content typr?

Inconsistent data with DateTime values in Word Document Library

Hi,

I am new to SharePoint (2010), and my company has recently migrated a Document Library from a different Content Management System. The Doc. Lib has been set up with Content Types and custom Word (2010) Templates to provide a specific structure to the documents. There is a requirement that the Metadata Columns be embedded into the content of the Word Documents, which we have done. However, we are an international company, so we are spread through several time zones.

Two of the fields in the documents are date-only datetime fields, but these fields must contain non-time zone aware dates. In other words, regardless of which timezone the document was created in or added to SharePoint, all users world-wide must see the same date.

When we create the documents by using the "New Document" menu in SharePoint, and fill in the Document Information Panel in Word, the dates work as required. However, if we use the "Upload Document" option, and then fill in the properties in the Default Edit List window, then the dates are time-zone aware, and users in an earlier (further west) time zone see the date as one day earlier.

After some investigation, it seems that Word stores the dates in the format yyyy-mm-dd hh:mm:ssz, with no offset information, and SharePoint then doesn't apply an offset when displaying/storing the data. However, when

Adding New Custom Folder Content Type doesn't show up on the Document Library New Menu

I been trying to add new custom folder content type to the document library programatically in my sandbox environment and it does show up on the document library. But, when I move same code to the almost similar configured SP2010 environment, adding new folder content type to the document library doesn't show up on the document library's new menu.

Here is the code? Since this code works fine in my sandbox environment, is there any other settings I should check on the server environment which would cause hiding content type on new menu of document library.

  class Program
  {
    static void Main(string[] args)
    {
      SPSite spSite = new SPSite("http://sp2010vm");
      foreach (SPWeb spWeb in spSite.AllWebs)
      {
        spWeb.AllowUnsafeUpdates = true;

        //For each site, cycle through lists
        bool isDocLibraryExists = false;
	      foreach(SPList spList in spWeb.Lists)
	      {
          if(spList.Title == "Classified Documents")
		      {
             isDocLibraryExists = true;
          }
        }

        if(isDocLibraryExists == true)
        {
          //Create new doc library
          SPList splist = spWeb.Lists["Classified Documents"];

          //Create Content Type
          SPContentType documentContentType = spWeb.AvailableContentTypes["Classified Documents Folder"

PDF form as Content Type for SharePoint Document Library

Is there any way to use PDF form (.pdf)  template as Content type for document library??

I have a pdf form template and i want to make a content type of it, so i can use it for my Document Library. I defined a new content type of it with following settings:

Select Parent Content From dropdown: Special Content Types,
    Parent Content Type Dropdown: Unknown Document Type

Under Advance Settings i uploaded the pdf form template to server. Under Document Library Settings I add this content type to it, now when i click NEW button it gives me an error message saying:

"The Document couldn't be created. The required application may not be installed properly, or the template for this document library can't be opened"

Seems like SharePoint doesn't integrate with or support Adobe Reader to open PDF form as Content Type or I am missing something there (for example: dll ).

I would really appreciate if you help me on this. Thanks

Aman

Passing Calculated Columns from Sharepoint into Word Document Library Template

Hi all...

Another noob question.  I have been able to figure out how to pass single line text, date, etc. data from a Sharepoint List into a Word Template, but I am still trying to figure out how to pass a calculated column.  Is there a workaround?

Thanks,
Max

Document Library/Content Type Planning

Im in the process of moving a network drives content to a new document library.

The network contains all our IT Sarbanes Oxley documentation/checks

What im struggling with is how to plan the document library.

Should I create a team site for this network drive and have multiple document libraries?
Or should I create just one document library?

What im struggling with is how to plan andocument library.

for example,
currently every morning a member of staff completes a check of server backups.
They modify an Excel spreadsheet which contains a row for each site/server and a column for each day.
This Document is located at O:\IT Procedures Policies & Controls\Controls\KC202 - Monitor Backups
Every month a new Spreadsheet is started which is based on a template.

My first idea was to create a content type for this check called 'KC202' as a template can be assigned then each month the user just needs to hit the dropdown button and then 'new KC202'.
the problem with this is we have 37 folders within 'Controls' ranging from KC000 to KC507 all of which will need template documents (each being Unique)

Then I thought the best idea would be to have a content type for 'Controls' with metadata for the 'KC' number. Whenever a new document is created the user can

Custom Content Type is missed while restoring Document Libary template

Hi,

I have a document library and i use a custom template "templateA" in it,This also inherits from "Folder" content type. When i'm restoring this template backup file to a new library,It missed the content type "templateA" and appears as "Folder" in all items.

I use a publishing site, and i created the content type in site level, I also created the document library in sub site level where i used the template,

Is there any work arround to get the custom content type in restored Libray.I use moss 2007.

Thanks,

Using Additional Fields from External Content Type in InfoPath 2010 External Item Picker

Hello, we've created an external content type for our store locations. Each location in the content type has a name, id, manager, region and so on. When we use this BCS content type as a field in a list, we are given the option to "Add a column to show each of these additional fields"

What would the equivalent be in an InfoPath form? When we add an External Item Picker to a form a number of fields are included in the form's data source, including a repeating group called BDCEntity with the following fields:

  • EntityDisplayName
  • EntityInstanceReference
  • EntityId1
  • EntityId2
  • EntityId3
  • EntityId4
  • EntityId5

Entity display name appears to be what we configure as the Display Field Name in the picker properties, and the EntityId1 is the location ID, which is the identifier on the external content type. EntityId2-5 are all blank.

We use region and other location attributes in workflows so how can we access all these other fields?

Thanks for your time.
