Updating Task Lists and Form Libraries From Workflow Form

Posted By:      Posted Date: August 26, 2010    Points: 0   Category :SharePoint

There are actually two separate (I think) problems here. The scenario: I used the SharePoint Designer 2007 to create a workflow attached to a form library. When a form is submitted to the library, a To-Do-Item is created on a task list. The To-Do-Item is initially assigned to a GROUP. A user from the group then selects the name of an individual from a choice list in edit item. This person now becomes the Assigned To for the task.

What is needed is 1) To update the Assigned To column of the Form library when someone in the GROUP assigns the task to an INDIVIDUAL; and 2) To have the Due Date from the submitted InfoPath form propagate to the task list.

I've tried having one workflow try to do everything and also having a secondary workflow set up on the task list to do the task assignment update but have not been successful in solving either issue. I don’t think that I am really understanding how to Define Workflow Lookup when not working with the Current Item. I know what fields I want but I don’

InfoPath Workflow Task Form "Loading" event handler only being called after App Pool recycled.

I have a Workflow that is using an InfoPath task form.  In the "FormEvents_Loading" method event handler I have some code that needs to run each time the form is opened.   I recycle the App Pool and open the form the code runs perfectly, but if I close and try to re-open the form the code is not run at all.  I can then recycle the App Pool again and on the next load the code executes just fine.   The code that is supposed to be run is a very simple statement to set a field value, so I don't think it is interfering.

Does anyone know what this might be?

Infopath form return XMl code during workflow task

1.     Review 7777.xml.

2.     Perform the specific activities required for this task.

Use the Edit this task button to mark the task as completed. (If you cannot update this task, you might not have access to it. Click here to request access.

Workflow doesn't complete when a task is updated directly from an infopath form.

I have an approval workflow that creates a task for a group to approve or reject an InfoPath form. But if a member of the group opens the form and updates the task from there, it doesn't complete the workflow. It only completes the workflow if they go to the actual task and update it from there. Does anyone know how to fix that?

Not able to open workflow task form

I have a workflow created using SharePoint Designer 2010. This workflow has 'Collect Data' task. When the workflow is run, a task is created in the task list, however users can not open the task from the list and get the following error. There has been an error while loading the form. A form template (.xsn) file can not be accessed. You may not have the required permissions to open the file. The users who are trying to open the task have full control on the task list as well as the list from where the workflow is started. Site Collection Administrators are able to open the task. I am not sure at which place the users dont have permissions that they are not able to open the task.Tarun

In a workflow, how do I pass the original library url to the task form?

Creating a workflow, where I need to display the originating library url (along with document name) in the task form.  I know that the SPWorkflowActivationProperities has the value (its itemurl), but how do I then make that available so that the task can see it? I tried to put it in the extended properties on the task invoking "createDocumentApproval_TaskProperties.ExtendedProperties["MyOriginalUrl"] = workflowProperties.ItemUrl;" but I dont see it when I open the Task form by using a Request.Params. Any help will be greatly appreciated thxRocky Sanders

How to override the style values in a sharepoint workflow task form

I've created a aspx task form, and it's working as planned.  However, the window that is popping up when the task form fires is too small, and I would like to set the initial height/width to my own values.  How do I override the standard sharepoint css/style values so that I can control the size of the task window?

Adding content to 3 sharepoint lists in a single form/workflow

Hi Folks,

I know there has to be a better way of doing this.

I am setting up a staff training intranet site. the main objectives is to keep a history of what training has been undertaken by company employees.

the solution I have at the moment is

1) create a SharePoint list item on a list called training provider ( for the provider of the training course )

2) create a SharePoint list item on a list called training ( one of the columns is a lookup on the training provider list )

3) create a list item on a list called training schedule which links the employee and the training course.

Going forward I would like the employees themselves to be able to enter the details of the training courses themselves.

I'm concerned that the above process is unwieldly/cumbersome.

Is infopath the way to go ? would a solution involving workflow be better ?

Task form fields not updating in custom task process

I have just discovered SharePoint Designer 2010’s custom task actions and I love them! Unfortunately, there are always things that do your head in. Here’s my problem...

I have a workflow associated with a Forms library that starts three custom task processes, one after another. The final task process has four task form fields, which are Yes/No (check box) site columns. When I edit the task that gets generated, select one of the check boxes, and then click Approve, the task list’s view shows that column with a “No” value instead of the expected "Yes" value.

Here are the details of the custom task action:

From Screen shots

I am the task participant and I am also the task process owner.

I see the columns when I edit the task that gets assigned to me:

Custom Task form of a SharePoint Designer workflow is not displaying correctly

We have created a custom workflow using SharePoint Designer. We are using one action “Collect Data from a User”. As you know, this action sends an email to a user with a link to a task form where user is supposed to accept or reject a request. We are encountering following issues with this form:

  1. Form is not a workflow form, it is a task item of the task list that the “Collect Data from a User” action of the workflow creates.
  2. Form opens as an item of the workflow task list in View mode (DispForm.ASPX) instead of Edit mode (EditForm. ASPX)
  3. When user clicks on “Edit Item” button, it displays all the fields of the task as editable – we want only the Approve/Reject option buttons and the comments TextBox (that we created during the workflow design) to be displayed as editable

Can someone please explain what is going on and how can we resolve the above issues?

Workflow Updating Infopath Form Dropdown Field Keeps Breaking

I am using SharePoint Designer to create a workflow.  I am experienced in creating workflows this way, but it is my first go around with SP 2010 + SP Designer 2010.

I am using InfoPath Services and have the form published as a content type to a form library.  I have a dropdown field that when the workflow runs, it will eventually change to another value in the list.  This HAD WORKED.  But twice now, I come into work the next day to find  the workflow will no longer set that field value.  Twice, I just rebuilt the workflow, only to have it break for no good reason, again.

The workflow indicates that it runs and completes. For trouble shooting I created a step that said (in pseudo) 1. Write to the history log that the workflow started, 2. change dropdown field to value X.  3. Write to the history log that the value had been changed.

Well I get the history logs, but the value does not change.  Again, this was working twice, I know the function is possible.  But I am hoping that someone out there would know of any known issues that would cause this to break?  Other than a possible large amount of local variables added to the workflow, everything else is pretty straightforward.

SharePoint Designer workflow task - problem with multiple users selector in InfoPath form

I have got an issue with InfoPath form generated for my SharePoint Designer workflow task. There is a multiple users selector that requests users from a task assignee. The problem is that only the first user entered got saved.

I am using SharePoint 2010 Standard Server (release). Steps to reproduce are the following:

Uploading a file over 1mb in InfoPath task form causes workflow to error

I have created a custom workflow which requires a file to be uploaded using an InfoPath task form. When i upload a file under 1mb the workflow completes and its status is shown as Completed. However; when a file over 1mb is uploaded, the task completes and the workflows status is shown as In Progress for roughly 1 minute, after which the status changes to Error Occured. The strange thing is the workflow has completed as the document is taken from the InfoPath task form and uploaded to a document library successfuly, as the workflow has been developed to do.

Can anyone tell me how to resolve this issue and what is causing this to happen? The error logs show nothing and i have configured InfoPath forms services to allow documents up to 50mb in size.

Any help would be much appreciated

Sharepoint workflow + task + infopath form + ?!

I have a simple Vs2010 Sequential workflow. I have followed this guide: http://msdn.microsoft.com/en-us/library/ms580283.aspx and various others to get it working. So the connection from my workflow to the infopath form is OK and I can get data in and out via the Itemmetadata.xml file. However, one thing I can't work out how to do: add fields from the task item to the infopath form, e.g., the Status field.

I have tried adding a data connection to a SharePoint Library or List, but this creates repeating fields, i.e., for every item in the list - I want to just display the data for one task.

I figure I know the GUID of the task item so i could query the list from VS and pass it through to the form via ItemMetadata... but I assumed there would be an easier way to do this. The form should know what task item opened it... (for instance, if I go to the list, and click "Customise form in infopath" then the form it creates is perfect - except that it will only publish it back to the list it came from - I can't save it as a generic reusable template.

Sorry if I'm asking anything daft, but any thoughts or good tutorials on this?
