Sending a status email with a workflow from Sharpoint 2010 once

Ok- this is probably not hard it is just early and I cannot seem to figure it out. I have a form that has a dropdown - if there is a certain option selected in the dropdown I want someone alerted. This is working fine.

What I am trying to figure out is - let's say the status is "completed" and I want them to get an email and the do. But now someone else goes in anc changes some other field but the status field still says "completed" and as you can guess the third paty gets another email. So I need to send a status message for the completed status once - not multiple times.

Sharepoint 2010 workflow not sending email


I have a workflow that is expected to create a task and also send email.

i can get the alert when the task is created. but the workflow does not send email. i get the following error in workflow history.

"The e-mail message cannot be sent. Make sure the outgoing e-mail settings for the server are configured correctly."

please can anybody help me out?

Hi All,

Can some help me regarding following.

I have set a job in sql server 2008 to send reminder emails for product expiration.
Now I want a report which will specify the list of the emails sent with the email status details like queued ,sent,delivered, failed.

I can fetch the emails that are sent by querying the like following

select * from sysmail_mailitems SM inner join sysmail_profile SP on SM.Profile_Id = SP.Profile_Id
and SP.Name ='ReminderProfile'

The problem is only getting a perfect status of email whether it is delived or failed. How I can get those status ?
Please help.


Sending an workflow email with image

I am trying to include an image in an email that I am sending out from Sharepoint designer. I have followed the below instructions from Microsoft's site and all I get in my email is the text. SharePoint 2010 email enabled list with workflow has incorrect User ID when items are emailed to the

I have set up an approval workflow for a document library that has email enabled. Emails come into the document library fine, however, if an item is emailed to the library the workflow kicks off with the initiator as "System Account" rather than the person who submitted the email. This makes the error of "The e-mail message cannot be sent. Make sure the e-mail has a valid recipient." come up. If someone submits a document directly to the library (by logging into sharepoint and submitting) everything works fine. The person submitting by email is a valid sharepoint user and the profile shows the correct email address. The Created by and Modified by fields show the correct person (rather than System Account), it's only the workflow User ID that shows incorrectly if document is emailed to library. Any help or ideas would be appreciated. Thanks

Hi, Which configuration would prevent sharepoint to send a notification when a workFlow task is assigned to a Windows Group with an email ? The same task with a single User send a notification. Thanks, Patrice      

Workflow sending old server name in email


I recently migrated from SharePoint 2007 to SharePoint 2010 using the database attach method to a new server. Server has different name than old server. The migrated sharepoint site collection has been working great. I decided to try workflows (we hadn't used any in MOSS 2007). I added a new workflow to an existing library using the "Approval - SharePoint 2010" reusable workflow. When I start the workflow on a document that needs approved, the approver gets an e-mail stating that a document has been changed (he must have alerts configured for that library). However, URL that the e-mail displays is wrong! It showing the old server name instead of the new one. I browse to the library on the OLD server (which is still online for testing purposes) and that document definitely does not exist in the OLD server library.

Can someone point me in the right direction to troubleshoot? I'm green at SharePoint administration. I already checked DNS and ensured that there were no leftover entries for alternate access mapping names.

Email not sending out in Sharepoint 2010


I have installed SharePoint Std 2010 and the emails are not sending out. I originally was trying to get the email to send out through the local Exchange server with errors popping up on both servers. Even though I had told the exchange server to allow for anonymous email from the SP Server it was not allowing it. The Sharepiont Server would log an error that it could not connect to the Exchange server.

I have installed the SMTP service on the SP server and configured it as the Microsoft Technet article says to. (Basically allow for anonymous for the outbound for the server. I can't get the SP Server to send any email out of the system. It will not send email from alerts, workflows or adding users the site.

It goes through the motions and there are no longer any errors coming up at all, but no emails either.

Any help would be great.


SharePoint 2010 Approval Workflow email is not showing link to Workflow Task list



I have created an out of box Approval workflow in SharePoint 2010. I am receiving email with below information

To complete this task:
1. Review SharePoint2010.
2. Perform the specific activities required for this task.
3. Use the Open this task button to mark the task as completed. (If you cannot update this task, you might not have access to it.)

But I need to go to Workflow Task List by clicking 3 item "Use the Open this Task" , this is not a link here

or I want like "Edit this task to mark the task as completed."  Edit this task should link to Task List

How to do this? do i missing any configuration?

How To: Loop a 2010 SP Designer Workflow until a Certain Request Status is set


I have a workflow that requires a user's approval, I have 3 request status (approved, rejected, needs more information).  If more information is needed I need to go back to the requestor and have him update the request with the proper information and have it resent for approval.

In 2007 I had to create 2 workflows,

Both get kicked off when an item is Added and one of them gets kicked off when the item is updated

WF 2 - kicked off at New and Update and waits for status field to be set to Needs More Information or Status Complete and stops.
           IF needs more information, start by sending a note to the requestor and then continue with the rest of the steps - there are 10 steps that I had to duplicate from the WF 1.  but if more information is still needed, the workflow will stop and a new one would be create becuase of the "kick off on update".
WF 1 - process along, set field to Needs More Information, stop workflow.  If not process the remaining 10 steps.


SharePoint workflow sending email to wrong person

Hi, I have a workflow that sends an email to the person that created the form whenever a change is made.  All has been working fine but one email has been sent to a completely random person rather than the user that created the form.  (e.g. K Pauls created the form and K Pauls name is in the "Created By" field within the form but H Walker got the e-mail).  H Walker is not included anywhere in the form but is listed in the automatically populated "Created By" Column.  Any clues?

Send Email with HTTP file attachment - Workflow is sending garbage in attachment



I'm having an issue with a customized workflow when I send an email with an attachment. I am using the "send email with http file attachment" that I have downloaded from CodePlex. Unfortunately all attachments that come through are full of garbage. This includes .jpg, .pdf, and .txt. From what I can tell with the .txt file is that its contents has been replaced with what appears to be the html of the list page. Both the .jpg and .pdf fail to open complaining about corrupt documents. All documents can be opened fine from within sharepoint. 

Can anyone of you guide me in this regard, as rest of my  workflow logic is working fine but this attachment issue is ruining the end result.


Sharepoint 2010 Workflow Email Issue


So I wanted to create a workflow for a list I have already created in Sharepoint.  The list is an "Issue Tracking" list.  When I add an item to the list, and then modify that item, I am notified by email that changes have been made to this item.  But when my workflow includes the "Send an Email" action in Sharepoint Designer, the workflow results include the message: The e-mail message cannot be sent. Make sure the outgoing e-mail settings for the server are configured correctly. 


I first thought it was the workflow and how it was looking up the email address to send to from variables in the workflow.  But then I changed it all the way down to simply being the single step: "Send an Email" and the email address is hard coded in the properties with my email address.  Since I get the notifications that changes have been made to the items in the list, I wanted to beleive that it was something else.  But I checked into the log file that was suggested on another thread here, and found an error when I searched the log for "SMTP:"


#160002: Cannot connect to SMTP host 'mail.xxxxxxxxx.com'.    a84dc162-7c30-43a1-b58e-ae5bc81a6a95


I x'd out my full domain, but this is the error in the log.

Under "Sending a File Using Email" section what exactly is the code trying to do.

1: The SendFile.cshtml does not have any option to select file.

2: ProcessFile.cshtml is running fine. I am getting the email but no attachement.

I tried changing fileAttachment input to type="file" but not file is being sent to my email. I just get the message send in body.

Question: How exactly this file attachment works using Email Helper in WebPages.
