Passing data into a Sharepoint Designer Form Action workflow

Posted By:      Posted Date: October 12, 2010    Points: 0   Category :SharePoint

I have a workflow that is triggered by a "Custom Action" on a "Form Action Button" that I added to a DataFormWebPart in SharePoint Designer. So the workflow isn't associated to any list or document library. What I need to do is pass some data to this workflow so that it can do some useful stuff.

I see from here that Natalya Voskresenskaya shows a method that allows you to pass a single list item value into a workflow variable but if you hack this into the aspx file as suggested, when ever you subsequently open design view and the workflow on the button again, all the hacks are removed by SPD.

I have tried this method and it seems to work for one variable, but I cant figure out how to pass more than one. Here is another post that is very similar but slightly different.

In this post Ibrahim said on April 1st 2008:

How can I show data from a Workflow variable in a SharePoint Designer Collect Data from User form?

I have collected some data (a comment) from a user in a SharePoint Designer (SPD) workflow step and I now want to display that comment in a second "Collect Data from User" form at a subsequent step in my workflow.  How can I add the content of my Workflow data variable, or even data from my original item, in the Collect Data from user form?

The Collect Data from user form is generated out of the Workflow Tasks list and only contains the url of the item where I could store the comment and which has the workflow attached to it.

This guy says he has done something similar but he appears to only use the URL and static info and does not explain the detail in any case: http://www.mstechblogs.com/paul/spd-workflow-collect-data-from-a-user-modify-the-generated-task-form

I'm keen to hack at the aspx form in SPD but I really need the particular line of code that will do it as I'm not a developer.

Your help is greatly appreciated!

Sharepoint Designer 2007 Variable Data on a form

I am a lifetime COBOL programmer trying to make a new career in a Sharepoint world. I am working on a project where I have created a list of Employees.  Almost all of the employees on the list must update their status on a day-to-day basis. A view was created on this list using [ME] as the search criteria to only return the employee who is updating his own info. With Sharepoint Designer 2007 I created a custom form. I cut and pasted the code for the view that I described above and then created a series of buttons to allow the employee to choose a status. For each button, I built a workflow to do the specific updates to the employee's list line. I was able to set up an onclick event for each button to execute a Javascript function that would go to the webpage and start the workflow.  I got the actual workflow URLs from the Sharepoint Intranet webpage after I completed each one. Here is my problem (and it is probably my inexperience that has got me stumped); The URL that is fed to the Javascript function has a hard-coded number representing the ID field of the Employee list (that is what probably sets the "Current Item" in the workflow.  I can see that the listview from above the buttons has the ID field as one of its Fieldrefs.  How can I substitute some kind of ID variable in the set of parameters that is fed to the Javascript?

How to get current user in an action of a workflow (without .NET coding) in SharePoint Designer

Does somebody know how to get current user (logon user) in an action of a workflow definition from the Sharepoint Designer 2007. I know how to do it by using .NET coding, but it requires to upload a dll to the bin directory of the application which is not an option due to my company Sharepoint policies.

Custom Task form of a SharePoint Designer workflow is not displaying correctly

We have created a custom workflow using SharePoint Designer. We are using one action “Collect Data from a User”. As you know, this action sends an email to a user with a link to a task form where user is supposed to accept or reject a request. We are encountering following issues with this form:

  1. Form is not a workflow form, it is a task item of the task list that the “Collect Data from a User” action of the workflow creates.
  2. Form opens as an item of the workflow task list in View mode (DispForm.ASPX) instead of Edit mode (EditForm. ASPX)
  3. When user clicks on “Edit Item” button, it displays all the fields of the task as editable – we want only the Approve/Reject option buttons and the comments TextBox (that we created during the workflow design) to be displayed as editable

Can someone please explain what is going on and how can we resolve the above issues?

SharePoint Designer workflow task - problem with multiple users selector in InfoPath form

I have got an issue with InfoPath form generated for my SharePoint Designer workflow task. There is a multiple users selector that requests users from a task assignee. The problem is that only the first user entered got saved.

I am using SharePoint 2010 Standard Server (release). Steps to reproduce are the following:

SharePoint Designer: Sending parameters with "Navigate to Page" form action

I want to create a custom button in my SharePoint form that uses Form Actions that commit the changes in the fields and then navigate to a designated page.  This works very well.

Then I want to send a parameter with the URL, for example: http://.../customform.aspx?ID={@ID}.  SharePoint Designer offers this option, but I have not been able to make it work.  Every time it just sends the literal {@ID} instead of it's content.

Has anyone solved this issue?

Unable to create task using Custom task Process Action in Sharepoint Designer 2010 workflow

Problem : In Sharepoint Designer 2010, we are working on creating reusable workflow.
In workflow we are using "Start Custom task process" action. It has been observed that, all of the sudden it behaves weirdly. It creates task but without any number appending to taskform.for eg. when we create task it generally shows "Start Task(1) process on Current Item with these users" However now it does not provide any number with Task. It shows "Start Task process on Current Item with These users"
In task form , it does not allows to add task forms fields from existing fields nor allows to create outcomes.
Thus we are unable to create any new workflows or edit and enhance exisitng workflows in the site. This is showstoper for project. Client wants to use sharepoint designer exclusively to develop workflow.
When we tried to create workflow (Sharepoint designer) in a new site with new list it allows us to create custom tasks process.
Resoultions approaches done so far.
1) Took backup of site on local box from Server and tried to create custom process task but not able to do it.
2) On Server removed all unwanted workflow status columns from the tasks list but still not able to create custom process task
3) Took backup and t

Pulling data from SQL tables in a Sharepoint Workflow based on an InfoPath form submission

I'm not sure this is the right forum for this, but here goes:

I'm creating a workflow that kicks off when a user submits an InfoPath form to a form library on a Sharepoint 2007 platform.  The workflow should find the manager of the user that submitted the form from SQL and email that person for approval before the next step is run.  Is this possible in Sharepoint 2007 or is using SQL in a workflow only a feature of Sharepoint 2010?

Thanks in advance

Trying to send email using Sharepoint Designer 2007 workflow and email enabled list

I have a a list that recieves email. I have few fields that shows me the originator: "E-Mail From" and "E-Mail Sender".

I am trying to create a workflow that will generate an auto reply to the originator but the SPD fails to recognize the email address in these two fields. It's either truncating part of it or uses the html ( href=mailto:Demo@DemoSomething.com) in the To field.

Thank you,

How can I implement this workflow scenario with SharePoint Designer?

I have a document content type and a library which contains this content type. here is what I want to do:

- when user creates a new document in this library, he will enter some user  names with people picker and then a message including some columns of the content type will be sent to that users. And then, at a certain date (lets say 1 day before a date that is one of the site columns) another email, a reminder will be sent.

I havent been able to find :

1- how can I replace a people picker field on workflow initiation form and how can I make it sent email to the user.

2- How can I make it sent a reminder email 1 day before the date that is stored in one of the columns of the content type(current item)

any help would be welcome,

How to create scrolling table for columns in a SharePoint Designer Data View

I have a fairly complex SharePoint Designer 2007 Data View they have added two more requirements.

1. Have the columns on the right side be able to scroll left to right as there is a large number of columns, while the first 3 columns on the left side stay locked in place.  This is only one list not two, and because of some other requirements I have it must remain to be just one list.

2. Then they also need to have scrolling up and down of the entire list with the headers locked in place.

The first requirement is more important than the second, but preferrably I need to do both.

I am new to XSL so not familar with the syntax. Is this something I can do on a custom Data View? Does anyone have any examples of how?

I have a drawing that show how it needs to look but I don't see an option here to upload a graphic.

So here is a link to my graphic example uploaded to my blog area: http://lindachapman.blogspot.com/  or just the image here: http://4.bp.blogspot.com/_aB01ue__NvQ/TGL42MOvrGI/AAAAAAAAAA4/c3xP4uCy4BU/s1600/Scrolling.png

I failed to mention that 3/4 of the columns are HTML Calculated fields wh

How to show previouse user comments on the task form of a user in sharepoint Designer

How to use display Text in Hyperlink For SharePoint 2010 Designer Workflow

In SharePoint 2007 Designer, I have used the Hyperlink column to store the link "http://www.sharepoint.com/Default.aspx, Details". The details text will be shown in the Hyperlink column. Everything works fine in sharepoint 2007 Designer workflow.

In SharePoint Designer 2010 Workflow, I used the same method but the hyperlink column is displaying the full text "http://www.sharepoint.com/Default.aspx, Details" instead of only Details

Share Point Designer 2007 Workflow (Sequential) - multi-collect data from user

I am currently building a multi-step workflow using ShrePoint designer for MOSS2007. I am getting a bit confused as to if I have an error or if I am doing something incorrect. Here is what I have going. My workflow consists of something similar to the following New document comes in, a collect data from user routine is ran and assigned to a reviewer. My understanding when I create a collect data from user WorkFlow step is any data I request is saved in the "Tasks" list. Therefore I need to grab the workflow task ID in order to later lookup what the reviewer submitted... I understand this...   However, I have one more collect data from user workflow step and I have one more item to collect. Even though this is a brand new collect data from user workflow step - does the collected data still go into the "Tasks" list? In other words, if I have two steps in a workflow and both of these steps are "collect data from user", does the data from both steps go into the same "Tasks" list?  I could see how this might be possible as long as the Task list columns contain all the items for all the different "collect" data from user steps.  I don't see two different Tasks lists representing or named "Reviewer" or "Final" or anything, so I assume the items are all in "Tasks"   However..
