Trying to generate dynamic link to a document within approval workflow email message

In the out of the box approval workflow, the fields below are used to dynamically create a link within the email for a user to access the item/document to be reviewed:

 

Review [%TaskProcess:Item Title%].[%Variable: InternetLink%]


If I create an approval workflow and modify the text around what comes out of the box, the link works.  If I add those exact fields (period and space included) via the "Add or Change Lookup" box (field selector), it doesn't work. It displays the title as a link but without a document extension of XML (for Infopath form for instance).

 

I don't want to have to delete my workflow and recreate it just to get that link to work.

Any ideas on why the "[%TaskProcess:Item Title%].[%Variable: InternetLink%]" only works when it is created out of the box versus building the string manually ?

How can I edit the link to the document in a Approval Task email?

  

With the 2010 out of the box Approval workflow, the emails and tasks work just great, however, when a user receives the email, the instructions look like this:

 

To complete this task:
1. Review <LINKED DOCUMENT> .
2. Perform the specific activities required for this task.
3. Use the Open this task button to mark the task as completed. (If you cannot update this task, you might not have access to it.)

 

Currently, we are using a friendly url for our users, in order to access their SharePoint site.  The <LINKED DOCUMENT> when clicked on, gives them an error and doesn't take them to the actual document in the SharePoint site, because of the fact that we are using a different url name for the site.

If there any way I can edit this auto-generated email so that the links will always be to the friendly url of our SharePoint site with each document?

SharePoint 2010 Approval Workflow email is not showing link to Workflow Task list

But I need to go to Workflow Task List by clicking 3 item "Use the Open this Task" , this is not a link here

or I want like "Edit this task to mark the task as completed."  Edit this task should link to Task List

How to do this? do i missing any configuration?

Hi, Can anyone help me with the below issue, I am facing this from so long and didn’t figure out solution yet for the same. :( I want to send an email through SharePoint designer workflow only when a folder is created in document library (not file uploaded/updated event). Please provide me solution about how I can achieve this through SharePoint designer as don’t have enough coding acquaintance.

Link in email message is not working through WebMail

  
Hi, I have used below link in email message using Start Approval process action in SharePoint 2010, this link highlighting with blue color  when i open Outllok and I am able to click on it as shown below.When i looged in using webmail from outside this link is not highlighting and unable to click on it. http://sharepointdev/CapComApprovalForm/_layouts/WrkTaskIP.aspx?ID=569&List=32db4bbb-cdff-4366-9758-f6ab75300061 Please hep me out to open this link through webmail by clicking on it. Approval Workflow email truncating space in folder name

  

Hello all-

I am programatically starting the approval workflow on a doc in a document library.  MOSS 2007.

That doc is in a sub folder of the libary.  The sub folder has a space in the name.  For example, the doc library name is Documents.  The sub folder name is 1.0 General.

When starting the approval workflow on a doc in this libary, the link that appears in the email message does not maintain the space in the folder name.  It does maintain the space in the doc library name.  For example, the link appears as http://servername/sitename/Documents/1.0General/Doc1.docx, but it should be http://servername/sitename/Documents/1.0%20General/Doc1.docx.  Any ideas what is happening and how to resolve this.

Email is Lotus Notes server and client.

Email notifications from Approval workflow

  
I currently have an issue with an out-of-the-box workflow; in essence it relate to the workflow author/originator NOT receiving an update once an approval or rejection has been committed.

A task list has been set up to receive *status* updates everytime an workflow action is committed whether that be initiation/approval/rejection/completion.  Everything appears to work APART from completion and the issue of an email notification to the workflow owner.

I have checked the logs on the Sharepoint box itself and appear to be fine.

I have checked the logs on the Outbound SMTP server and everything is OK upto to the point of completion.

I need some advice on what else I can do/check to verify IF the email notifications are being created by SharePoint; what in the logs within Sharepoint I can further check (diagnostic is not set to verbose - ALL) and what ELSE can be checked on IIS/Outbound SMTP server...

Any advice would be much appreciated...

Approval Workflow does not send Start Email to approvers

  

We've a SharePoint Server 2007 (which is upgraded from our SharePoint 2003 Portal Server + SP2 ).  


There is a strange problem working with Workflows.


When a standard Workflow is started for a document in an Existing Document Library, The Document's WorkFlow status changes to "In progress" and an Email is sent to the initiator; In the site Task List, also, the tasks are assigned correctly to approvers. but no emails are sent to approvers!!!


I should add that approvers WILL receive a due date warning email on the Task Due Date. 


The only missing part is "Task Started/Assigned" Emails.

 

Can anybody help?

Sharepoint 2010 Approval Workflow "Open this task" link not functioning

  

When I am clicking on "Open this task" link in outlook 2010 i am getting error as "Access to the floowing form required". Please help me out to resolve the issue..

Providing a link in an email to a document in another document library

  

Hi,

I am developing a custom workflow using Sharepoint Designer 2007 in which workflow has to send a notification email with a link to a document which is in another document library. For eg: Doc A in Library A ( to which workflow is attached) sending an email with a link to Doc B in Library B.(Doc B is a document having specific information about Doc A.)  Can this be done? When i tried, i am getting HTTP 404 error. Workflow is initiated manually. I am having site collection Admin rights. Has anyone done this? Any help appreciated. Thanks in Advance.

Hello people!

Started evaluating dynamic data around a week back, so not sure if a thread exists for this query.

Has anyone used or evaluated Dynamic Data for implementing a Approval Workflow? 

For Example-
Products Table- ProductName, UnitPrice, Discount, .... ...., State (Sumbitted = 1, Updated = 2, Approved = 3, Rejected = 4)

Each time a Product's Discount is updated, it goes for approval from Senior Management. And only after approval the Product gets its new price.

 

In my project, I have quite many entities that need approval before they can be accepted or updated.

Problem passing local variable for Approvers email in customised Approval workflow

  

I am building an Approval workflow using SPD and have used the Start an Approval Workflow task action.

The workflow works on a change register and looks up different list of approvers assigned to change items.

Using Local Variables, the look up assignment works fine.

My problem is that when I pass the Approvers variable to the email at the end of the workflow (the on Current Item with... part) it appears the variable in empty?

I have used the approach of adding a variable check in the content of the emails - as the workflow sends the emails anyway. The lookup works fine - it’s just the email at the end of the process that does not seem to be able to see the contents of the variables that are shown to be set earlier.

Designing a basic workflow for document approval using Sharepoint Designer2010.

My primary question relates to the approval status.  As you can see in the picture I have said if document is approved then copy it to the communications list, else if it is rejected then delete it.  I have also tried putting these items in seperate steps, but no matter what I do it always copies the item to the communications list regardless of the document being approved or rejected and never deletes the previous version (as if that action doesnt even exist).  Any insight is greatly appreciated.  I'm a novice at this so please excuse my ignorance if the answer is obvious.  I'm still trying to gain a basic understanding of the relation between conditions, actions, steps, and such.

SharePoint Designer Workflow Activity to generate Word Document from Infopath xml

  

Hi,

 

I am considering the follow implementation.


I have a workflow that user fills out to get funding and once approved (via workflow) I want to at the end of the approval generate the letter dynamically based on the values out of the infopath form.

Now I am thinking of the following solutions.

A custom activity where you point it to the word document to use and then set the fields out of the infopath that you want transfered into the word document.

Is this going to be even possible.

The type of data I have is fields from lookup, people pickers, text, curreny etc.

Is there another option maybe having a document lib with these fields as text and create new item in it and move these values into there (is that possible via designer?)

 

The document has to be able to be easily editable by the end user to change the template and also to be able to edit the actual document once created.

 

Any help would be great.


Link to 'new' document in email

We are running Windows SharePoint Services 3.0. We recently have a requirement to automatically assign a task to an individual which includes a link to a document which needs to be completed.

The document needs to be completed and saved to library which in turn should start another workflow and alert another user that the document has been completed.

I am aware of the fact that the above can be achieved with simple workflows however I am struggling with the inclusion of a link to the new document.

As we are using WSS we cannot use InfoPath so I am trying to do this using Word? It would be great if I could include a link similar to the 'New' button in a document library.

Does anyone have any suggestions on how to solve the above application? Any suggestions would be greatly appreciated.
