Document Library Missing Columns in Edit Properties

Posted By:      Posted Date: October 01, 2010    Points: 0   Category :SharePoint
Hi, I'm having an issue with a specific Site Collection.  The issue is that some of the columns do not show up when you go to the Edit Properites page, or when the user creates a new document.  The items can be edited when opened in a data sheet, but the users would like to be able to edit them on the Edit Properties page.  They say they haven't made any changes, but this has happened at least 3 times with differenct document libraries on this specific site.  Has anyone else ever dealt with this?  Anyone got a solution?  Let me know if more info is needed.  Thanks.

MOSS 2007 Strange Problem with edit forms, content types and document library columns

I'm having a strange problem and have not been able to track down any useful answers over google.

I inherited a SharePoint site that I am now making some changes to.

I am having problems with one document library.  We had custom edit forms on this document library, which I was finding a pain to maintain so I reset them back to the site definition.  This edit form now shows only those fields that are associated with the Document content type (the only content type - I've deleted the others) on the document library.  There are other columns on this document library that are NOT associated with the content type that I would like to show on the edit form but they are not available when I try to add them to the content type via Settings > Document Content Type > Add from existing site or list columns.  The select columns from drop down is set to List Columns.  The Additional Authors column is just not there.

I CAN see this field on the all items view for the document library, it is there and populated with data.

Setting the Allow Managed content types radio button to NO does not have any impact on which fields are visible on the form- I still see those same fields that have been associated with the Document content type.

Has anyone else seen this or does anyone have any thoughts??

They will be muc

Change the order of fields in the 'edit properties' screen in a document library?

How can I change the order of the fields in the 'edit properties' screen on a document library?

In a standard list there is an option for 'column ordering'. This option does not exist in a document library! In my document library I have added some site columns to be used for filtering of documents in the library. But I'm not happy with the order they are being added into the 'edit properties' screen. The order looks different to the order that is shown in SharePoint Designer in the doc library when I click the 'edit list columns' link.

Any help much appreciated.

Unable to Edit the properties of a document using the ribbon

I have created a new web part page and added a document library to that page.  In the ribbon the "Edit Properties" icon is enabled and I can edit the document properties.

When I add another web part to the page and go back to select a document, on the ribbon the "Edit Properties" icon is no disabled.  I can still edit the document using the context menu of the document.

Permissions on the library did not change when I added the additional web part.  The only change to the page was adding an additional web part.

Document Library "export to spreadsheet" doesn't export all columns in Excel 2003

Hi, we are working with MOSS 2007, Infopath Forms Services, KPIs and Excel 2003. There is a view for some data of the Infopath forms which has to be exported to Excel by our users, but some columns are not exported - without any error message. If I try to export it to Excel 2007 everything is exported as expected, but our users have to use Excel 2003. Any idea?

Unable to create columns in document library after applying custom master page to site

Workflow data missing from Document Library

Hi, We have this strange situation where the workflow status is missing from document library views. Here is the situation: I have a Document Library with 3 OOTB approval workflows configured to start manually. Process is that user uploads a doc, start the first workflow, once it gets completed starts the second, and so forth. Now if I check the All Documents view of this Document Library, I can see these three workflows have 3 columns and that shows the status of the workflow - say "In progress", "Completed" etc. Now our users who use this document library and workflow complains that they cannot see these status of the workflow after some days. If a workflow is completed and status shows completed there, but after some days that column is blank. I've checked the modified data for the documents and this issue according to the user happens to documents that was uploaded 2 weeks back too, which means this doesn't happen to old document only. This document library has Major and Minor versioning enabled. Why does this happen, does SharePoint remove data for completed workflows? I checked the document's workflow page and its empty; nothing under running workflows and nothing under completed workflows. In Doc Library settings - Workflow settings I could not find an option View Workflow reports. That page has the following details: Use this page to view or

Altering in-document form layout for Document Library Columns

My users need to add metadata to documents they check out of a Document Library while they are in the document. That works fine (the forms appear at the top of the Word Document, underneath the task bar). However, the layout of the forms is kind of bad. Is there a way to redesign the forms in the top of a word document so that they look better?

Add Document link missing from library

I have a SharePoint 2010 farm that was upgraded from MOSS 2007.

I have noticed that in some of my document libraries, there is a tick box next to each item in the list, and an Add Document link at the bottom of the list, but in other Document libraries, the tick box and link are not there.

How do I get these to display for all document libraries?

Excel spreadsheet properties push to sharepoint library columns

Hope this is the right forum; if not, please direct me to the right one.

In Excel 2007 I am filling in a document property programmatically in an Excel 2003 spreadsheet, and creating/filling a custom one.  Just FYI, I use the following VBA code:

    ActiveWorkbook.BuiltinDocumentProperties("Company") = "TEST COMPANY NAME"
ActiveWorkbook.CustomDocumentProperties.Add "Manager's Name", False, msoPropertyTypeString, "TEST MANAGER NAME"

Then I save the document to a SharePoint library.  Right now it is saved as a 2003 version spreadsheet (.xls).  There are a Company column and a Manager's Name column in the SharePoint library, and Microsoft's online documentation says the properties should populate the corresponding columns in the library.  But they don't!

That's my problem--getting them to populate.  Incidentally, thinking that the spreadsheet version was the problem, I have tried saving these documents both as 2003 spreadsheets and 2007 spreadsheets in my code, but the SharePoint columns never populate either way.  The only way I can do it is by manually filling in the document property from the UI.

Does anyone know what I'm doing wrong, either in Excel or SharePoint or somewhere in between, to cause this?  Is there a non-code solution to the problem?  I can do some C# code if I h

missing edit template in Form Library Advanced Settings

I just noticed that the ability to edit an infopath (published) form from the advanced settings within the form library is missing.  I looked at several other form libraries and noticed the same problem.  I am the site collection admin, and my rights have not changed.   How would the link to edit a pubished form dissapear from the advanced settings page?

Customize 'linked to document with edit menu' options for documents in document library

This is very urgent and high priority business requirement. Kindly help me to accomplish the below task.

1.      There should be an option to “Discuss” certain document. Note that the discussion MUST be linked to the document.

2.      If the “Discuss” dropdown is pressed – a new discussion thread should be created.  Note:  <

Recover last version of file properties in MOSS document library

After an overwrite to several hundred files we need a quick way to either restore the entire file to the previous version or ideal just the custom property fields.

I tried to find a way to script a query into the document library and collect the previous version custom data into an excel spreadsheet but could not find a solution.

I came across this post that indicated he was able to restore only the file properties but retained the current version (which was not his gold but would be mine).

He included a snippet of his code:

Would this work? is there a powershell equivalent?

Whats the easies way to make this code into a useful solution.

int versionCount = item.Versions.Count;
if (versionCount > 0)
// this only restores properties

Event handler: properties.AfterProperties on a document library ItemUpdated/ItemAdded event

In a ItemUpdated event on a list i normally i use "properties.ListItem" to get data before the changes, and "properties.AfterProperties" to get data after the chages

But when working with document libraries things get a lot complicated. The ItemAdded handler gets called when a file is uploaded, not when the user specifies it's metadata. To handle these metadata i have to use the ItemUpdated handler.
But even there it happens that "properties.ListItem" and "properties.AfterProperties" result both null, so i cannot access any data i need

Is there a way to get a document metadata when it is added to a library?

Passing Calculated Columns from Sharepoint into Word Document Library Template

Hi all...

Another noob question.  I have been able to figure out how to pass single line text, date, etc. data from a Sharepoint List into a Word Template, but I am still trying to figure out how to pass a calculated column.  Is there a workaround?
