Large document libraries with a custom user interface

We recently migrated our document management system to SharePoint (WSS 3.0) and I adapted my VB6 client application to search for and retrieve a list of documents from this new SharePoint library using the Lists web service. Although the total number of documents in this library is 90,000 at one site and over 145,000 at another, my VB6 application never retrieves more than 600-700 documents at a time. From reading white papers such as "Working with Large Lists in Office SharePoint Server 2007" (http://go.microsoft.com/fwlink/?LinkId=95450&clcid=0x409), it appears that if my custom user interface limits the number of items returned in a search of these large lists, that it may not be necessary to put these documents into folders. However, our current scanning software, KnowledgeLake Capture, by default places newly scanned documents into folders based on the year, month, day and hour, which means that these documents are placed in nested folders 4 levels deep.

There are also some 20 metadata fields on these document libraries that allow us to filter these document libraries so that search results will in most cases be limited to a few hundred items.

We acquired new servers (Windows Server 2008 with SQL Server 2008) to host our SharePoint libraries and we are running WSS 3.0 S

User group invalid for new document

Defined a user group and a site column of type people/group directing to this group.

Also defined a content type and added the site column to this content type.

When I create a new word document of this content type, word opens displaying my site column ok. But when I enter it, I see that all active directory (AD) entries are displayed. I want it to display only those users I added to the user group I created. Moreover, users can select any user from AD, which makes defining a user group and a site column meaningless.

This problem is only in creating new documents with Word. If I edit properties of an already existing document in my site, everything is ok: I can select only the users in the group.

Documents becoming "locked for editing" by self, when no other edits are happening

On our SharePoint 2007 SP1 farm, intermittently, when a user opens a Microsoft Office document (usually Excel) for editing by single-clicking its name in IE, the following error dialog mysteriously occurs when Office opens:

File in Use
myfile.xlsm is locked for editing
by 'domainname\yourname'
Open 'Read-Only' or click 'Notify' to open read-only and receive notification
when the document is no longer in use.

The problem is, nobody else is editing this document, and the identified user ('domainname\yourname') is the name of the current user (the person opening the document right now)!

This is not "user error", e.g., the same user editing the file from two different computers, or the file being checked out. This is a real, intermittent problem. If the same user opens the same file again 1 minute later, the problem might be gone, even though nothing changed.

It's almost as if some kind of intermittent race condition is happening, where the document gets locked too early...?

We are completely stumped. Any ideas?

Other details:
- SharePoint servers (1 front-end, 1 query, 1 indexing) are all Windows 2003 Server
- SQL Server 2008 on database server
- Clients are mostly Windows XP
- Our versioning model is:
--- Content approval: not required

PDF editing in document library

We are using PDF file in document library and ours is an authoring site so there are bulk changes everyday so for editing we dont want to use Acrobat Pro because that can be only used for some changes,So we have decided to have Word documents as our Master documents and make changes to word so that we can edit them easily in word and then create some process or add some add in or any method that would replace the existing PDF file with the pdf file converted from the respective word document file but the formatting in the new pdf should be similar to the old pdf with all the headings and links intact.I need a solution of any type or method or any add on .Thanks...

Control User Access to Document Workspace

I have set up a document workspace section with several folders and files.  I have set up a group that has full control and set up a group with contribute.  Now I would like to set up several groups that will only have access to specific portions within the site for contribute.  I see where I can set up group overall, but have not seen where to narrow down to spefici folders/files for group to view.  Do I get to the specific folder or document and then set up access or do it from Home?   Any help is appreciated! Document is read-only in SharePoint, but user sees "check out" option in Office 2007 / Word / Excel

I am finding that when there is a document library in SharePoint with checkin/checkout required, if a user with read-only ("Visitor") permissions opens a document from that library, the document will open as read-only in Word, Excel, etc., but the user will see the "Server Document" bar with the message "To modify this document, you must check it out" and the "check out" button.  When the user tries to check the document out, they are asked to authenticate, and then receive the error "Cannot perform this operation.  The file has been deleted or someone else has it checked out."    How is it possible to prevent a user with read-only rights in SharePoint from seeing the "Check out" option in Word or Excel?

Word 2010 Crashes When Editing Server or Document Properties

I don’t know if I’m doing something wrong or if this is a bug. We are using Metadata in our SharePoint 2010 implementation and I have linked this to the various document templates. If the template is a docx or dotx extension then, in a document library, going New Document and editing the Server or Document Properties causes Word to crash. Document templates based on .doc extensions work fine. Once the document has been created you can edit the properties but obviously this isn’t the best process. Does anyone have any advice on this? Thanks Neil

Nice way to ask user to choose a document and then list of recipients for a mail merge?

I'm building what could be described as a mail merger. A user chooses an email template, chooses a list of recipients, and the application performs a mail merge.

I could attach the workflow to contact lists, in which case I only need to ask the user for the email template to use.
I could attach the workflow to document lists, in which case I only need to ask the user for the recipients to sent to.

I decided though that I'd bring them to a starting page and let them choose both. But I've a horrid and barren looking aspx form.
Is there any nice way of letting them browse for the documents and contacts? At present I'm using a couple of dropdown lists listing all documents on the site, and all contact lists on the site, but it's a bit butt-ugly :D

I wrote a book :) http://www.amazon.com/Microsoft-Visual-Studio-2008-Programming/dp/0071604081

User Interface Design Document

Multi-User Editing on Sharepoint Wiki

I have created a Wiki library for an internal sharepoint site, and have the problem that if multiple people are editing the same version of the wiki page, then one of them will lose their edits when they try to submit them.  I have since required a check-out of the wiki page prior to editing, which the dialog asks for when you click on edit.  However, for the check-in process, the user seems to have to go to the library and select the check-in from the drop-down.  I would prefer that this be asked when the user tries to commit their changes, so they do not need to navigate into the library.  Any decent way to work through this?

We're running all 2007 versions of our software here, if that is of any concern.

Regarding Editing the user profile Information in MOSS

Hi All,

I have very interesting situation over here and unable to understand what is going on behind the scene. There are two senarios as follows

1) Production server that host the site restored from old WSS on the MOSS---- when i go to the Peoples and Group and click on the user name and then click on the edit profile I am presented with the from where i can edit the profile information but according to the theory this should not happen if MY Site is Enabled

2) Production server that host the fresh site on MOSS--- when i go to the Peoples and Group and click on the user name and then on the edit profile I am presented with the page that contains the domain name and user name means i cannot edit the profile as expected according to theory.

Both the server are two different WFE but has the same databse server. Please help me to solve this mistry.

Document icon and title link in document library don't navigate on click for one user using IE8

On a pretty vanilla SharePoint document library, a particular user browsing with IE8 can click on the document icon or the title link for a Word document but nothing happens.  Other document types were not tested, so I can't say if it was specific to Word documents. The user can however pull up the menu at the right of the title and select "Open in Microsoft Office Word" which will open the document in Word and is then able to modify and save the document.  The behavior has not been observed from other users using IE8.  I've reviewed the users Internet Options settings and didn't see anything out of the ordinary and tried disabling pop-up blocker and other potentially interfering features without changing the observed behavior.  The user is from a different location and his configuration may or may not represent the stock configuration at that site, so I can't dismiss it without determining whether it would affect all users at his site.  Word 2007 is installed on the user's machine.

Does this sound familiar?  Any suggestions for troubleshooting?

The document could not be opened for editing. A Microsoft SharePoint Foundation compatible applicati

Hi All,

I have a document library which contains doc files. Microsoft office is not installed over the SharePoint server. When I am opening the document file from any Windows 7 or windows server 2003 machine it is giving me following error. (The client machines have microsoft office installed.)

"The document could not be opened for editing. A Microsoft SharePoint Foundation compatible application could not be found to edit the document."

Now when I open the same document from XP machine every thing works fine.

It is nothing to do with Firefox or IE version I have checked with all and the results are same for all browsers.

I am started loosing interest in SharePoint for its unpredictable behavior. Developing a thing in SharePoint is 10% work and 90% debugging.

I hope I will get some result or atleast the reason for behavior.
