Set read only permissions on a document based on review status

Posted By:      Posted Date: September 17, 2010    Points: 0   Category :SharePoint
I have a document library that has excel files that users create using a Content Type template.  Then there is a workflow that runs on it and allows the user to change state of the document to Strted, Prepared, Reviewed.  I want that once the status is set to reviewed, a workflow runs and changes the permissions on the document to read only.  The user is part of a group... so not sure how to handle the permission.  Any advice?

How to write an event to manage permissions on a document while uploading, depending on custom field

I am trying to find a solution to manage permissions on a document, while uploading it into a document library. This event has to be fired if a custom field is populated (it's a check box field).

How to write an event for this, i tried writing ItemAdded event, but this is getting fired as soon as a document is uploaded, before coming to the page, where we populate all the fields and hit check in.

can i capture Check-in event.

Please advise.

Check-out issue when opening a document from a document library when a read-only copy is open

We have an issue when a user has a read-only copy of a document from SharePoint open and then tries to check-out and edit another copy of the document (i.e. from the document library) the checked out copy is not connected to the web server. For the user it will look the same they will make edits, save and then close, but when they do so the document is not updated in SharePoint - it may be saved locally in their SP drafts, but the user will think that they have lost their version. We then get the checked out to another user error and you have to discard changes to get the document working again. Steps to reproduce this issue: * click on the name of a office doc on a Document Library * Make sure "Read Only" is selected and click "ok" * Minimize open document * click on the same file on the Document Library * Make sure "check out and edit" is selected and the "Use my local drafts folder" checkbox is ticked. Select OK. * Edit document and press save. Changes are never saved back in SharePoint, they are only on the local draft. We are using MOSS with SP2. Clients are on Office 2003 and 2007 Is this normal behaviour? Is there anything that can be done to prevent this from happening?

Send alerts based on approval status

Hello, I have a list of posts on blog site and set alerts on this list. The problem is that every time I post a new blog entry an alert is sent to the users despite the approval status of this post. So every edit attempt causes a new alert. The users does have only read permission set on this Post list. Is it possible to configure the alerts so the alert is being sent only when the post status is set to approved? BR, Tomek

SPD workflow status show "starting" when I create a document from the library !!. and hangs

I have a document library in MOSS 2007. Have created a WF and that starts "autmatically when new item created" In the document library I have created couple of column those are mandatory (required columns) and user has to fill those column while uploading a document as well creating a document from library. WF has ran and completed succefully  when I use "upload" option to load a document.  As you are aware, when we "upload" a document, we will have to fill all "required columns" and the click "check in" command button.  After I do all this, document get loaded and WD ran succesfully. However, the WF is not running when I create a document (.docx) from this library (using "new" button) !!.  I have filled all required field in the document information panel . After save & exit from WORD application, I can see WF status as "starting". But, it never started and completed.  So I did following and found WF worked !! a) After creating document (.docx) using "new" option I found WF status "starting"!. So,  I did "Check-out and Check-in" manually from document library. After doing this,  WF ran and status has been changed as "completed" b) In SPD, I change workflow start option from "Automatic" to "Manually start".&nb

New Document Library in a subsite is inheriting permissions from wrong site

I have a site collection (using the out-of-the-box Business Intelligence site template) called "BI Home". A couple weeks ago I created a bunch of subsites (Finance, Regulatory, Marketing, etc.) all using the BI site template, and then created a Document Library called "Reports" in each one of those subsites. Those are all working as expected. Yesterday I needed to create a new subsite (again, a BI site just off the root site collection) called "Operations". I created the subsite, and then created the "Reports" document library underneath it.  When I went to modify the permissions of the new document library (located here: /Operations/Reports), it said it was inheriting permissions from it's parent: "BI Home".  Why would this be?  Shouldn't the parent be "Operations" ?? All my other sites' "Reports" folders are inheriting permission from their respective parent, but any new sites I create seem to have this issue. Thanks in advance for any insight someone may provide! [SharePoint 2010 RTM on Win2k8R2 using SQL 2008R2 RTM on Win2k8R2]

Document Library and Review Template

http://techsolutions.net/Blog/tabid/65/EntryId/17/Fab-40-Templates-for-MOSS-2010.aspx I have Installed the Document Library and Review Template from the above website. 1) The Discussion board for the document library is not working in sharepoint 2010. 2) The Discuss icon is not showing in document library list.

Item/Document permissions affect Library/List permissions

When I change the permissions on a item/document in a library/list the permissions are also changed on the library/list even though I stopped inheritance.  When I change the permissions on the library/list it also changes permissions on items/documents in that list even if inheritance is removed.

Item/Document vs. Libray/List permissions

When I change the permissions on a item/document in a library/list the permissions are also changed on the library/list even though I stopped inheritance.  When I change the permissions on the library/list it also changes permissions on items/documents in that list even if inheritance is removed.

Document Permissions

Good afternoon, I am using Sharepoint 2007. How can I post a document via a hidden webpart or document library and add permissions to it. It is a hidden link so I have setup audience targeting. For example how would I grant say team one read only access and team two full control over the document? Thank you for any help given.

Read-Only mode is not working for office document-Bug

I have a excel file in the document library. In client PC I have office 2007. Suppose two users click on that excel file. A small window pops up to select mode(edit or read-only). User1 selects edit and user 2 selects read-only. user1 made some modificatin on the document. After that save and close the file. Now user2 click on save button he also can save the file. That means modification made by user1 is overridden by user2. So it should not happen. It's a Bug. If the user opening the document in Read-Only mode then save button should be in disable mode. If any one has any workaround. Please let me know.

Office 2007 Documents Open in Read-Only when Opening them from a WSS 2.0 Document Library

Hi, When any of our Windows 7 Pro computers that run Office 2007 Pro attempt to open a Word document that resides in a WSS 2.0 document library by using the drop down menu and selecting "Edit with MS Word", the documents open in read-only.  Our work-around is to save the document locally, modify it, and then save it back to the document library. We have some Windows XP and Vista systems that run Office 2007 and they are fine and can simply edit the document and save it.  We also have a handful of pc's that run Office 2003 and they are not having any issues either. Things I've tried: Office 2007 Repair - no luck Office Reinstall - no luck Some registry mod HKCU\Software\Microsoft\Office\12\Internet\OpenDocumentReadWrite=1 (noted on a MSKB article) - no luck and after re-reading the article it clearly states that this will not address content hosted on WSS or SPS sites Clearing IE temp files, resttting IE to defaults - no luck Once again, this only seems to happen to Win7Pro pc's that run Office 2007.  Honestly, I can't tell if IE8 has anything to do with this. Any thoughts or help would be extrememly appreciated. Thanks, Mike

Claims Based Auth Corrupting Permissions?

So I'm noticing everytime I enable claims based authentication on a web application all pre-existing windows based permissions fail. I believe this is due to the Identity Manager presenting a different account than those present from Classic mode authentication. You can see below that the Classic Mode Account's list the normal domain\username while the claims based version of the same account is completely different and causing a mismatch. So I figure I must be missing something obvious for how to migrate to claims based, they can't honestly expect people to redo permissions across their entire sharepoint instance. Example (DisplayName followed by Account): Name: All Authenticated Users Account: c:0(.s|true Name: NT AUTHORITY\authenticated users Account: NT AUTHORITY\authenticated users Name: DOMAIN\domain users Account: c:0+.w|s-1-5-21-2428780107-2384587425-257213858-513 Name: DOMAIN\domain users Account: DOMAIN\domain users

Silverlight client object model : Read a document from a document library

How do I read/download a document/file from a SharePoint document library using silverlight client object model? The most closest function that I found was: Microsoft.SharePoint.Client.File.OpenBinaryDirect() but this seems to be throwing an exception "Operation not supported".

Dataview Webpart - display document type icon with status

Hello, I recently came across an excellent post by Marc Anderson on how to surface the document icon within a DVWP. http://sympmarc.com/2008/09/10/displaying-the-document-type-icon-in-a-dvwp-in-sharepoint/ What I wanted to know is has anyone any knowledge of how to extend this so that the icon will reflect if a document is checked out? Thank you for your comments and thoughts. Sincerely, Tim

Document is read-only in SharePoint, but user sees "check out" option in Office 2007 / Word / Excel

I am finding that when there is a document library in SharePoint with checkin/checkout required, if a user with read-only ("Visitor") permissions opens a document from that library, the document will open as read-only in Word, Excel, etc., but the user will see the "Server Document" bar with the message "To modify this document, you must check it out" and the "check out" button.  When the user tries to check the document out, they are asked to authenticate, and then receive the error "Cannot perform this operation.  The file has been deleted or someone else has it checked out."    How is it possible to prevent a user with read-only rights in SharePoint from seeing the "Check out" option in Word or Excel?
