Document control with approval process

Posted By: Posted Date: September 17, 2010 Points: 0 Category :SharePoint
I need a mechanism to upload documents, in which has up to 12 different approval levels, dependant on value and cannot be escalated until the lower level's approve. I need the ability to send email notification that a document is pending their approval as well as the ability to see at any given moment, where the document is in the approval cycle.

Document Approval Process in SharePoint Foundation

I am currently analyzing the workflow capabilities available in SharePoint Foundation (free version). One of the business needs my company has is that they would like to be able to submit a document that goes through an approval process. For examples user1 adds the document then next another user or multiple users are sent an email stating that they need to go into SharePoint and approve this document, then it might be routed for more approval, etc. My question is does the version I am currently working with support the use of an "approval" type workflow? Do I need to upgrade to the pay version? Thanks in advance.

Should I use WWF for custom document approval workflows?

Before I dive into yet another behemoth MS framework, maybe a little guidance for the simple but dynamic workflows that I will need to be dealing with. Document approval with n approvers both sequential and parallel QA assignment of helpdesk case to check that case was handled properly (needs to add disposition). Collaboration workflow where domain object may pass between several people to complete pieces of the job and result in a fully-qualified dohickey when the workflow ends. My strong impression from some of the other posts I have read here is that WWF would be overkill and possibly even a nightmare compared with a home-grown solution here. Our use cases primarily will deal with activities going to people to complete and pass to the next level... Thanks a ton! Dave

Workflow Approval Process

I have created a workflow for approval of a list. I have listed two persons who can approve/reject and item. My intent was to have either person be the appover. Sharepoint apparently see's it differently; they need both persons to approve before the item can be finalized as either rejected or approved. Is there a way to make it so that one of two people listed can approve a partiuclar workflow process?????? Thanks in advance, and yes, I am very, very new at this!

Hi, I have an XBAP app that we would like to be able to open an Excel doc in a WebBrowser control but instead we always get prompted to opne in Excel. Is this possible? Here is what I have tried. The reports are in SharePoint but we want to show them in our own application not SharePoint. System.Windows.Forms.WebBrowser ReportView = new System.Windows.Forms.WebBrowser(); WindowsFormsHost ReportViewHost = new WindowsFormsHost(); ReportView.Navigate(_fileName, "_self", postBytes, "Content-Type: application/vnd.m?s-excel"); ReportViewHost.Child = ReportView; _filename would be something like http://localhost/shared%20documents/myfile.xslsx Thanks for any suggestions. Control User Access to Document Workspace

I have set up a document workspace section with several folders and files. I have set up a group that has full control and set up a group with contribute. Now I would like to set up several groups that will only have access to specific portions within the site for contribute. I see where I can set up group overall, but have not seen where to narrow down to spefici folders/files for group to view. Do I get to the specific folder or document and then set up access or do it from Home? Any help is appreciated! Possible to Control Depth That OPENXML Parses xml document

I'm trying to parse a survey and only want to parse to a particular depth in the XML. I want to preserve the hierarchical structure so that I can import it into SSAS and build a cube solution around the survey and the survey results. The structure of the xml follows this patten: <Survey Name="Medicare Inbound/Outbound Disenrollment Survey NY/NJ English"> <Introduction Text_English="Created by dcho on 3/23/2010." /> < Question Tag="Inbound/Outbound" Type="Choice" Min="0" Max="40" Choices="inbound|outbound" Hint="" Question_English="(Select Inbound/Outbound and click Next)" /> < Question Tag="Outbound Introduction" Type="Choice" Min="0" Max="40" Choices="yes|no" Hint="" Question_English="Hello may I speak with (disenrolled member)?

(Select choice from dropdown and click Next)"> < Condition Tag="Inbound/Outbound" Comparison="EQ" Value="outbound" /> </ Question> I only want to descend to the Question attribute so that I can pick up its Tag element. I do not want to pick up the Condition attribute and its corresponding Tag element. I am using the following query,

SSIS Execute Process Task Give "Access is Denied" error but it is not related to access control.

Hello All - I have a very weired SSIS problem. I am using BIDS in two machines - Windows 7 Professional Edition x64 bit (development workstation) and Windows 2003 Standard Edition x32 bit SP2 (server) . The visual studio version on both the machines are Version 2.0.50727 SP2. I found that my package's ExecuteProcessTask fails with "Access is denied" error in Windows2003 but runs ok in Windows 7 dev box. I then tried to debug the package in the Windows 2003 environment itself. The package failed in debug mode too with the same message. After looking for a while I found that when I shorten the Argument length of the failing ExecuteProcessTask the task did seem to work. So in Windows2003 environment if my argument exceeds 1846 characters the ExecuteProcessTask fails with message "Access is Denied". If the argument string is less than 1846 it works ok. In Windows 7 environment there is no problem at all. It does not seem like access problem but I may be wrong. Has anyone seen this? I will appreciate any reply. Thanks, Niben

Any suggestions is greatly appreciated. Thanks

ASP:Upload control . Uploading into a SharePoint Document Library Subfolder and FILE NOT FOUND error

RE: ASP:Upload control . Uploading into a SharePoint Document Library Subfolder and FILE NOT FOUND error Two Issues, apparently unrelated. I have subfolders like this /ApplicantDocuments/20 and /ApplicantDocuments/21 (where 20 and 21 are my subfolders and ApplicantDocuments is my library. 1. The below function is erroring with file not found, but I confirmed I'm sending the fully qualify path (i.e c:\test.txt) to System.IO.FileStream content = System.IO.File.Open(documentFileName, System.IO.FileMode.Open); 2. Even if it worked, looking at the code, I'm not using argument foldername.  I'm passing 20 to the argument. How can I make sure it uploads into subfolder 20 of ApplicantDocuments? Thank you.     Just testing in test environment. Will tighten code once it works.   public void UploadDocumentToSite(string foldername, string documentFileName) {      SPSite siteCollection = new SPSite("https://xxxxxx");      SPWeb web = siteCollection.OpenWeb();      //SPSite.AllowUnsafeUpdates = true;      //Web.AllowUnsafeUpdates = true;      string Lib = "ApplicantDocuments";      SPFolder destFolder = web.GetFolder(Lib);      sendmail(documentFileName+" "+foldername);

Is it possible to use a webpage form in the workflow process instead of using a document?

We need to move our current IT work request form to sharepoint workflows. The reason for this is because we need to be able to have an approval process for non-managers who fill out the IT work request form and then submit. How do I get started adding a webpage to the approval process in workflows? I'd like it to work exactly how adding a document, from the document library. If it is possible, can someone direct me to a tutorial out there or give me some insight? Thanks, Shawn

How can I edit the link to the document in a Approval Task email?

With the 2010 out of the box Approval workflow, the emails and tasks work just great, however, when a user receives the email, the instructions look like this:

To complete this task:
2. Perform the specific activities required for this task.
3. Use the Open this task button to mark the task as completed. (If you cannot update this task, you might not have access to it.)

Currently, we are using a friendly url for our users, in order to access their SharePoint site. The <LINKED DOCUMENT> when clicked on, gives them an error and doesn't take them to the actual document in the SharePoint site, because of the fact that we are using a different url name for the site.

If there any way I can edit this auto-generated email so that the links will always be to the friendly url of our SharePoint site with each document?

Thanks in advance!

Question about Workflow in Document Library with version control and check-in/out enabled

I use Sharepoint Foundation 2010 and have a workflow to set some metadata in a document with version control and check-in/check-out enabled (approval content is not enabled because anyone in the team can be a possible editor of the document).

My metadata is:

- a generated doc id with text+id (example P&D_1)

- a calculated status based in version: minor version = "on development" and major-version="published/approved"

I defined two workflows:

1) is called when item is created to define id and status.

2) is called when item is updated and status is re-calculated if version is major. (It is called in every item change, not only when user wants to publish a major version, because this option doesn't appear in SPD)

I noticed that sharepoint workflow must do a check-out to be able to update metadata, and because of this the version number is incremented. When version is minor, I don't care, but when version is major I have a problem, because just after publishing the version 1.0, the workflow changes metadata and the version to 1.1. and 1.1 means that the document is not approved anymore...

a) Isn't it possible to do the workflow to check-in and override the last/current version to not generate a new version??

b) Or is it possible to stop versi

Document control

I would like to be able to accomplish the following tasks in Sharepoint 3.0 and wonder if it is possible.

1. A document is created in Word by a member of staff and needs to be uploaded to a specific folder on Sharepoint to await authorisation.

2. This folder and its contents can only be accessed by the Team Leader.

3. The Team Lead

Granular control for document management

We are using a product from NSI called AutoStore. The way we have it configured, it monitors an e-mail address, and as new e-mail arrives, the message body, as well as all attachments, are converted to PDF, renamed, and uploaded to a SharePoint document library. The end goal is to provide external users a way to access uploaded documents through the SharePoint web interface, but restrict them from seeing anything in the document library other than their own documents. Is this possible? Right now they can see their own documents, and other users' folders, but cannot see other users' documents within those folders.

Sharepoint Document Version Control

I am wanting to migrate a number of existing documents into sharepoint so they can be version managed. However, most of these documents are already up to version 10 etc (on a manual system), I am wanting to start the versioning in sharepoint at a particular version instead of 1. Has anyone done this?

How to use control file locks (ReaderWriterLock?) in a multi-process situation.

I have web apps on a web server farm that need to share serialized objects stored as files. I need to be able to have one of the web apps write updates to these files, but it needs to wait until all of the other apps' threads are done reading it.

ReaderWriterLock works fine within a single web app, but as soon as I access the shared files (on a SAN or any mapped network drive) I encounter IO Exceptions when readers are in the middle of a read and a write operation occurs.

Is there a way to control this across a server farm, or at the very leasy, between multiple apps on the same server?
