Strange notification emails from workflow tasks

Pardon if this is a dumb question, but I can't figure it out. I am setting up a purchase request workflow and it works, but for some reason extra emails are being created and sent to a different address. I didn't put this address into the workflow so I am unsure why it is doing it.   My work flow consists of a simple start approval process to a set email address. Then an if and else to send emails (hardcoded) based on the approval status. The email address is mine and I don't have any diversions on it. An example of the emails: ---------------------------------------------- Approval has completed on 4444444. Approval on 4444444 has successfully completed. All participants have completed their tasks.   Approval started by ######\intranet on 9/16/2010 12:45 PM Comment: Rejected by ########P\intranet on 9/16/2010 12:48 PM Comment:  ---------------------------------------- I only have myself in the approving group. And I have gone through all my settings (well I think I have) and I can't find where this email address or setting is. Thanks in advance. Again, sorry if this is a dumb question.

SPD workflow, emails sent for one user, not for the other

I have a SPD workflow (WSS/2007) that take a date field from a document list and when that date occurs it sends an email.  If the date is in the past, it will send the email out right away.  It is working fine for one user, not for another.  Both users have the same permissions.  The workflow goes as follows:

ACTION: Set Variable: vTermdate to DocumentsNotificationDate
       then log Documents:Email Date to the workflow history list

CONDITION: if Variable: vTermdate is not Empty
ACTION: Log term not empty to the workflow history list

CONDITION: if Variable: vTermdate is Empty
ACTION: Set Variable: vTermdate to N/A

Errors when interacting with WorkFlow generated tasks through ISA Server


I have a MOSs environment that I have published through ISA Server 2006 and i am getting really strange behavior whentrying to interact with WorkLFow generated tasks when I have connected through ISA. This also seems to affect InfoPath Forms Services. I was wondering if anyone out there is seeing any problems when using ISA Server to interact wih Forms or WorkFlows?


The error I get simply states:

the form cannot be submitted to the web server either because your computer is offline or because the host server is currently unavailable.


Any help would be appreciated.





Query for Workflow tasks?

HI All, I need a CAML query which will retrieve all the workflow tasks from all the site collections in a web application, which are assigned to the current logged in user and whose status is NOT STARTED.  I.e., ASSIGNED TO = CurrentLoggedInUser STATUS=”Not Started” Workflow Name is not null Can any one of you help me regarding this Issue. Workflow tasks viewable by most, but not all task owners.

I have a simple SharePoint Designer workflow that starts when a new list item is created.  The task owner is defined by a 'user/group' field selected from a sharepoint list.  Of 150+ users, only 4 are not able to see the tasks when assigned.  I have the task list set so they only see their own.  These 4 users do not see any tasks, where as everyone else does see only their own tasks.  To test, I changed the list settings to show all.  The users saw all tasks, but are not able to edit the tasks assigned to them. I feel the problem lies with how the workflow is assigning ownership of the task.  When I use the sharepoint task list to manually create a task for these 4 users, they can see and edit them, but when the workflow creates the task - they can't. Is there something special about how workflows assign task ownership based off Active Directory versus manually assigning tasks coming from the cached SharePoint profile?  (As a test I deleted the user from the All People list of the site, and manually added them back - no luck).Greg Appelt

Workflow AND/OR Tasks - how can I create one that occurs/recurrs on a weekly basis.

Hi All, Any ideas how I could configure SharePoint 2010 to trigger a workflow for a site member that notifies them to perform  a specific task ? I have a timesheet template that I intend to create a content type from. the use case is that each site member needs to fill out a timesheet at the start of the week to indicate what work they will be doing for the week. Is it possible ( using customisation ) to create a workflow so that a site member is prompted to create a new timesheet at the start of everyweek ? Alternatively can a recurrent task be created instead ? i.e. on the monday of every week create a new task for each site member to "create new weekly timesheet" Thanks and regards, Counie

Hi, Which configuration would prevent sharepoint to send a notification when a workFlow task is assigned to a Windows Group with an email ? The same task with a single User send a notification. Thanks, Patrice      

assigning workflow tasks

Hi, I'm trying to create a workflow in sharepoint designer which will assign the workflow task to a specific user based on a field. I'm using the "Collect Data from This User" action. I have two lists, "cost centre" and "purchase order". I've put the layout of them below. I want the workflow task generated from the Purchase Order to assign the workflow task to the Approver in Cost Centres based on the Cost Centre field. In Sharepoint designer I have done the following: Lookup Source: Cost Centres Field: Approver Find Field : Cost Centres:Cost Centre Value: Purchase Order:Cost Centre Cost Centres (List) Cost Centre                  Approver 0010                              Chris 0020                              Sarah Purchase Order (List) Cost Centre 0010 When I create a new item in Purchase Orders List with a Cost Centre field that matches a field in Cost Centres List, there is no-one assigned in the task generated from purchase orders list. relative URLs inside of email body in workflow emails?

In my auto-generated emails in workflows, I provide the reader a link to a list item on the SP site.  The problem is that I seem to have to provide an absolute URL, which of course changes between development in production.  Is there a solution for this short of editing my workflow when I move to production?  I'm on MOSS 2007 and use SP Designer.

Custom Workflow TaskEditForm(Custom Content Type) not getting displayed in Tasks List.



I have developed a custom sequential workflow. I have also developed a custom content type derived from Workflow Task Content Type.

I have 1 TaskEditForm.aspx in this custom Content Type. The custom Content Type is getting associated with the Tasks List but when I click EditItem option in ECB Menu or Ribbon,the in-built EditForm.aspx gets displayed instead of displaying my custom TaskEditForm.aspx from the custom Content Type.

Can anybody help?

How to get approver comments from OOTB workflow and display as a column in Tasks list



My problem is simple, although solution can be complex. If you know, when you start OOTB approval workflow, it creates a task item in Tasks list. An approver can click the task and open the page where he can approve/reject, also, where he can leave his comments in the "Type comments to include with your response:" textbox. These comments are included in the email which is sent after approval/rejection. Well, I looked at the columns in the Tasks list (Workflow Tasks list too) and I couldn't find any column that specifically stores these comments. I'm sure they are stored somewhere, they just can't be gone with an email.

My question is where are the comments and how to get and display them as a column in the Tasks list. I hope there is a UI way to do this. But if not, I'm ready to develop something like event handler for that.

Step-1 employer send document for approval to manager .

step-2 When manager will approve or reject . status will send to the emloyer through mail.

step-3 when manager will approve than document is going for approval by main manager.

step-4 if approve or reject status will send it to employer and manager.

Strange behavior for a workflow



I have a lot of strage behavior regarding my workflow host and it's workflows. I'll jump right into it. I use both the persistance and tracking service that comes out of the box. The WF host is hosted as a windows service and I have a WCF interface to "talk" to the host. WCF exposes methods like: "Start this workflow", "Change the status of this workflow" and "Terminate this workflow".

The strange behavior I talk about is this. When I call "Terminate workflow" I look in the tracking table WorkflowInstanceEvent I see this for the particular workflow:

Workflow or Time Job for email reminder on Tasks List in Share Point 2007


I need to send a reminder to the person whom a task has been assigned 3 days before a due date. We also wants to re-use this workflow/time job on other lists as well. Name of the lists can be different??


Also if the due date gets change it should change the reminder accordingly.

Which approach i should take to achieve this?? 




SharePoint 2010 Workflow - Creating multiple tasks

I'm working on a SharePoint 2010 workflow which will assign multiple tasks to a list of users.

I'm using the Multiple Tasks webcast from Scot Hillier as a guideline

I've created the custom activity to create a single task, and used a replicator to start the this custom activity for every user.
However, the sub-activities in my custom activity are not shown(as opposed to webcast).

how to send emails to multiple persons at the same time from sharepoint workflow using visual studio


Hi Every one !!

   I am trying to send copy of a document for multiple directors at my client for their approval.

   The director can approve the document at the same time.

   Hence, I would like to know how to create a task to send emails for multiple people at the same time from a sharepoint workflow using visual studio 2008.

   I see there is a parallel activity. But it gives me only 2 paths ( means would be able to send only for 2 users )

   If creating a separate task to send emails for each user is an inefficient way, please let me know if there is another good way of sending emails to multiple users.

Three State Workflow Emails have invalid links


I've attached a standard three-state workflow to a document library.  When the emails arrive in users' inboxes, the links back to the document don't work if the document file name includes spaces.  It appears the workflow is not encoding the spaces, correctly.  If the message is opened in Lotus Notes, the spaces are completely stripped out (e.g. "My File Name" is "MyFileName").  If the message is opened in Gmail, the spaces are replaced with + signs.  (e.g. "My File Name" becomes "My+File+Name"). 

I've searched the forums and elsewhere, and I can't find any resolution for this.  To the best of my knowledge, no other emails, either from workflows or alerts, have this problem. Any suggestions?  This is on MOSS 2007, by the way.



Workflow to automatically notify if tasks are overdue?


Greetings all,


An intrepid manager in one of our departments has created an extensive list that she uses to assign tasks to various people throughout our organization.

Individuals are alerted whenever something is added for them to accomplish, but as many of you know, we all let our due dates lapse.

Now, she's asking for a way to automatically notify the assignee when the task become overdue - a poke - either once, or daily.

It seems that a workflow can accomplish this, but a workflow has two limitations:

1. It runs only when a specific item is updated, eg., an item would have to be updated every day for it to run

2. It runs for only a single item, e.g., a workflow won't run through all items in the library to check status


Is there any GUI way (we don't have programmers on staff) that we can accomplish this for her & her team?  (Auto notifications sent to assignees when tasks are overdue?)
