Passing constants to workflow from a form

Posted By:      Posted Date: September 15, 2010    Points: 0   Category :SharePoint
I have one workflow which I want to trigger from multiple custom forms against the same list. I want to pass constant values to the workflow depending on which custom form is used. I know that I can add values to my list and include them as hidden fields on the form but I'd like to know if there is a way to do this without having the constant values as fields in my list? The constants are only needed during the workflow execution on submission. For example I want to process workflow based on a constant called "project" with value "project x" but I don't want to store the value "project x" in my list. I just want workflow to be able to branch on this value. Thanks for any help.

Passing data into a Sharepoint Designer Form Action workflow

I have a workflow that is triggered by a "Custom Action" on a "Form Action Button" that I added to a DataFormWebPart in SharePoint Designer. So the workflow isn't associated to any list or document library. What I need to do is pass some data to this workflow so that it can do some useful stuff.

I see from here that Natalya Voskresenskaya shows a method that allows you to pass a single list item value into a workflow variable but if you hack this into the aspx file as suggested, when ever you subsequently open design view and the workflow on the button again, all the hacks are removed by SPD.

I have tried this method and it seems to work for one variable, but I cant figure out how to pass more than one. Here is another post that is very similar but slightly different.

In this post Ibrahim said on April 1st 2008:

Using Infopath form fieldnames in a workflow fails

I designed a form in Infopath and I published it on a SP2007 server to use in a workflow in a library. That goes fine. In the workflow I send an email message. I can use the fields from my Infopath form in the message that I create.
If the workfow is starts, Shrepoints sends me the message. But it does not use the fields from my InfoPtah form in the message in stead I see questionmarks.

Why doesn't it show the fields?

I alse saw (maybe this makes it clear) that when I let it dipslay the URL in the message, it show: http://1.portal.lucasonderwijs, but the actual site is whithout the "1" and it should also start with https://

Has anyone seen this before?

Thank you,

Updating Task Lists and Form Libraries From Workflow Form

There are actually two separate (I think) problems here. The scenario: I used the SharePoint Designer 2007 to create a workflow attached to a form library. When a form is submitted to the library, a To-Do-Item is created on a task list. The To-Do-Item is initially assigned to a GROUP. A user from the group then selects the name of an individual from a choice list in edit item. This person now becomes the Assigned To for the task.

What is needed is 1) To update the Assigned To column of the Form library when someone in the GROUP assigns the task to an INDIVIDUAL; and 2) To have the Due Date from the submitted InfoPath form propagate to the task list.

I've tried having one workflow try to do everything and also having a secondary workflow set up on the task list to do the task assignment update but have not been successful in solving either issue. I don’t think that I am really understanding how to Define Workflow Lookup when not working with the Current Item. I know what fields I want but I don’

InfoPath Workflow Task Form "Loading" event handler only being called after App Pool recycled.

I have a Workflow that is using an InfoPath task form.  In the "FormEvents_Loading" method event handler I have some code that needs to run each time the form is opened.   I recycle the App Pool and open the form the code runs perfectly, but if I close and try to re-open the form the code is not run at all.  I can then recycle the App Pool again and on the next load the code executes just fine.   The code that is supposed to be run is a very simple statement to set a field value, so I don't think it is interfering.

Does anyone know what this might be?

InfoPath form checked out so 'on create' workflow not being started

Hi all,

I have found a couple of threads asking for advice on how to check in an InfoPath form when it’s saved or submitted to a forms library. The reason for doing this is so a workflow can start based on a new item being created in that library, and so it doesn’t just sit there with a “Starting” status.

The answers I have found contradict each other:

·         You have to do it with a workflow.  This can be done easily with SharePoint Designer if that's an option for you. Source:

Infopath form return XMl code during workflow task

1.     Review 7777.xml.

2.     Perform the specific activities required for this task.

Use the Edit this task button to mark the task as completed. (If you cannot update this task, you might not have access to it. Click here to request access.

Workflow which is activated when infopath form created but need attached to another costing form als

I have a requirement to create an infopath form which is simple enough to create and is pretty much done.

It however has a secret which they didn't really mention in the doc or their "simple workflow requriemetns" and this is  that it goes some where for costing.

The idea of this is to automate a paper trail so I am thinking that this costing which is to be attached to this document should not simple be an upload onto the form but part of the workflow tasks.

My questions are.

If I have the follow workflow requiremetns.

1. User fill in form and submit

2. workflow then starts

3. (cost part next?) one group of people liase with accountants to ensure funding is posible and attach to form. two option I see here.

opt 1

The costing part is part of the workflow but if I do this I need the field to be read only for everyone except for a couple of groups is it possible in infopath to do this?

Opt 2

The costing is in a different library which the workflow create the new file this has it own workflow with a task to complete it and when completed workflow marks a field as complete before the main workflow will move on to next steps.

I would need to link the two forms together preferably in both directions would be nice what the best way to do this?

4 Once costing is co

Workflow doesn't complete when a task is updated directly from an infopath form.

I have an approval workflow that creates a task for a group to approve or reject an InfoPath form. But if a member of the group opens the form and updates the task from there, it doesn't complete the workflow. It only completes the workflow if they go to the actual task and update it from there. Does anyone know how to fix that?

Passing return value from a Web Service to a label in a Form View

I am using JavaScript to call a web service. The JS is correctly receiving and passing the web service information. At the moment, the web service returns a country name as a string to a JavaScript alert pop up box as follows:ret = CountryRegionsWebService.GetTranslatedCountryShortName(ddl1_value, ddl2_value, OnComplete, OnTimeOut, OnError);function OnComplete(args) { alert(args); } I want to change this so that web service returns the country name to a label inside an insert item template of a form view. Is there a way to pass in the label variable to the OnComplete function signature and still account for the variable args?, such as: Server Side Declaration of JavaScript ddl2.Attributes.Add("onChange", "JavaScript:OnComplete('" + lab5.ClientID + "', '" + "args" + "');"); Client Side JavaScript function OnComplete(lab5_id, args) { var lab5 = document.getElementById(lab5_id); lab5.innerHTML = args; }

Contact Selector Failed in MOSS Workflow Modification Infopath Form

Hi,   In my proof of concept Moss 2007 WF, I tested an Infopath modification form successfully.  Then the contact selector ActiveX control was added but it failed to open using the modification link of the workflow page.  In a different form for the WF initiation, I similarly created two CS controls and it worked there.  A snippet of the MOSS error is below   Object reference not set to an instance of an object.   at Microsoft.Office.InfoPath.Server.Controls.ContactPicker.RenderClientViewDataLeafContent(XPathNavigator context, IRenderContext renderContext, ControlViewData controlViewData, ScriptWriter writer)    at Microsoft.Office.InfoPath.Server.Controls.LeafControl.RenderClientViewDataContent(XPathNavigator context, IRenderContext renderContext, ScriptWriter writer)    at Microsoft.Office.InfoPath.Server.Controls.BaseControl.RenderClientViewData(XPathNavigator context, IRenderContext renderContext, ScriptWriter writer)    at Microsoft.Office.InfoPath.Server.Controls.ContainerControl.RenderClientViewDataContent(XPathNavigator context, IRenderContext renderContext, ScriptWriter writer)    at Microsoft.Office.InfoPath.Server.Controls.BaseControl.RenderClientViewData(XPathNavigator context, IRenderContext renderContext, ScriptWriter writer)    at Microsoft.Office.InfoPath.Server.Controls.CollectionControl.RenderClientViewDataContent(XPathNavigator context, IRenderContext rend

Approval workflow is not passing task instructions to workflow task page (WrkTaskIP.aspx)

Hi, Very weird issue. Never happened before. I have Document Approval workflow, based on built-in approval workflow, which is available in document libraries of every site in the site collection. You might know that when you kick off approval (even collect feedback) workflow, you can enter task instructions, which will be passed on to the workflow task page (WrkTaskIP.aspx), and also included in the email, which will be sent to approvers (reviewers in case it is a collect feedback workflow). I know that the users used to enter task instructions, and before, it was appearing in the workflow task page where you approve/reject it. Recently, they noticed that the task instructions textbox was being empty, though the instructions were being entered when the workflow was started. Moreover, it stopped showing task instructions for other tasks that existed for a long time. BTW, this is not the same in every environment we have, but I could not find any difference in the settings when I compared them. Has anybody faced this problem? Please help if you know the solution. Thank you!!! Regards, R.D.M.

Not able to open workflow task form

I have a workflow created using SharePoint Designer 2010. This workflow has 'Collect Data' task. When the workflow is run, a task is created in the task list, however users can not open the task from the list and get the following error. There has been an error while loading the form. A form template (.xsn) file can not be accessed. You may not have the required permissions to open the file. The users who are trying to open the task have full control on the task list as well as the list from where the workflow is started. Site Collection Administrators are able to open the task. I am not sure at which place the users dont have permissions that they are not able to open the task.Tarun

Add an instantiation form to workflow solution

Hi All. I have a VS 2008 Project for a Sharepoint(MOSS) 2007 installation. This project contains a Sharepoint project containing various List Definitions, Content Types and List instances. I also have 2 workflow projects in this solution. For one of my workflow projects, I require an instantiation form. I have 2 queries. 1:- How do I Add an aspx page to my solution. Anywhere I try to add items, I cannot see the aspx option 2:- When referencing the instantiation page in my workflow.xml, what will the path be? Please note that I need to use an aspx page rather than an infopath form for this. This page will only need to have one Multi-Line text field on it. Regards Andrew Berry - Software analyst/Developer
