SharePoint Three-state workflow messages

Posted By:      Posted Date: September 11, 2010    Points: 0   Category :SharePoint
I want to assign tasks to users without notifying them the task is assigned. But I DO want to notify them when the state changes (I am changing it behind the scenes based on their due dates and the current date. It looks like  have two choices - don't send emails, or send emails with all three state changes. If my interpretation above is correct, then does anyone have a suggestion how to contrive system to trigger SharePoint to send people a message when a date in a list is within one week? Without sending three additional messages, that is!

Delay Activity is not working with SharePoint state machine workflow

Hello,   I have a problem with Delay Activity in Sharepoint state machine workflow. This issue is kind of common to many people but so far I haven't come accross any working solution. In one of the workflow states, I want to add a delay activity to send email notification if no action is taken after certain time. Below is what I have done:   In the targeted state: 1) add one eventDriven activity to handle the normal process (approve the item) 2) add another eventDriven activity to send the reminder email. In this eventDriven activity, I first add a delayActivity, set it to 2 minutes for test purpose. Then I add a Sharepoint SentEmail activity.   With my test, the Dealy Activity is never invoked after timeout period. What should I do to make the delay activity work in the SharePoint state machine workflow? Is there any work around if the delay activity is simply not working there?   Any suggestions are appreciated.

Sharepoint Foundation: Edit Three-State Workflow

Hi, can one edit the out of the box Three-State workflow through Sharepoint Designer?
We are using Sharepoint Foundation and the Three-State workflow doesn't appear under Workflows in Designer, although it is available as a template in Foundation.

I would like to see how that workflow was created to help me in creating my own custom workflows.

I created a New Task List and managed to get the WF to create a task after an Event was created in a Calendar. But I am not sure how to create a second Task after the 1st was completed.

Upgrade Sharepoint 2007 Custom State Machine/Sequential workflow to SharePoint 2010

What's the path for upgrading the SharePoint 2007 Custom State Machine/Sequential workflow to SharePoint 2010 when the current SharePoint 2007 environment is upgraded to SharePoint 2010 by an inplace upgrade?

What's the typical estimate time for upgrading SP2007 custom workflow to SP2010 custom workflow?  My gut says 40 to 80 hrs or even less than that, what’s your thoughts?

FYI...I tried to upgrade the SharePoint custom workflow built using visual studio 2008 in SP2007 environment to visual studio 2010 solution/project in SP2010 environment, I got the error messages to refer the following dll's

Microsoft.SharePoint.dll and Microsoft.SharePoint.WorkflowActions.dll

Even after referring the new dlls still the workflow design doesn't show up in the canvas...still work on this to fix mean while want to know the experts insights on this.

State Machine workflow in SharePoint and have state expire

I'm designing a workflow in Framework 4 to run against a list in SharePoint 2010.  The List's Content Type is an InfoPath 2010 form that contains various fields and checkboxes.  The workflow contains various states, with the movement between states dependent upon which checkbox a user checks.  I use the OnWorkflowItemChanged event to capture when this happens.  But I'd also like to send out emails if the workflow sits in one these states for a certain amount of time...i.e. no one has checked a certain box to move onto the next state.  Workflows in Exchange Public Folders used to have an "Expiry" setting on states that would fire an event when you've been in that state fro xx amount of time.

So basically in the state, I need to wait for the InfoPath form to change and also have a timer going that gets started each time you enter the state...and if you don't change the form, it sends an email and goes back into the same state...with the time reset and running again.

I'm new to Windows Workflow and can't seem to figure anything out.

thanks for any help or guidance

WF How-To: Building State Machines with Windows Workflow Foundation

State Machine workflows represent a different way of visualizing program logic. Rather than flowing from activity to activity like sequential workflows, State Machines transition from state to state. Learn about uses for State machines and see how to design and build a State Machine workflow with Windows Workflow Foundation.

Sharepoint Wiki Custom Workflow

Has anyone done custom workflows for a sharepoint Wiki page?

The workflow I'm trying to do is, whenever a new wiki page is created I want a new Discussion page  to be created for that wiki page?

Any Help?

Setting permissions of a specific SharePoint workflow

We have a very simple workflow whereby an document placed in a public library (INBOX) is moved it to a private library (VERIFY) and then deleted. The workflow works correctly when someone who has access to the VERIFY library drops a record into the INBOX library.  However it does not work when the user does not have access to the VERIFY library.

I was told that I need to "set the AD group associated with a specific SharePoint workflow" but cannot find any reference to this in SPD.

Terminating a SharePoint Workflow Programatically

I have a custome workflow coded in VS 2005 and deployed in to GAC and associated to a List in the SharePoint Portel through MS SharePoint Designer.

When an Exception happened in the code, the worklow instance' Status is shown as "Error Occured" and get suspended. since this workflow instance is "hung up" at this list item another instance of the workflow can't run. To run another instance you have to go into the SP Portal --> List and click on the "Error Occured" under the workflow of the item and then you have to terminate the workflow by clicking on the "Terminate this workflow now" link.

I just need to do this function ("Terminating the workflow") in the code in my Catch block where i handle the exception of the workflow activity.

could some one please tell me how to do this? or even point me in the right direction?

i've so far tried varity of:

ActivityBind activityBind = new

Workflow "Failed on Start (retrying)" when new item created by BizTalk SharePoint Adapter

We've been using the BizTalk SharePoint Adapter to load various different contents into a MOSS 2007 Document Library. The library has a Microsoft Office SharePoint Designer 2007 workflow (sequential workflow created in Designer) which starts automatically when a new item is added to the Document Library. Or, at least, it eventually starts automatically.

For some unknown reason--and this is what we're hoping some of you may have some ideas on--the workflow fails to start on the first try, producing the "Failed to Start (retrying)" message. When the timer job comes back the second time, the workflow starts successfully, but this causes us to loose five minutes of potential work time (not to mention making us look bad to the VPs and CTO because they see the failure message).

In checking the log, I find the following pair of error messages each time the "Failed to Start (retrying)" status occurs:

08/27/2007 13:49:43.24  w3wp.exe (0x0CA0)                        0x1438 Windows SharePoint Services    Workflow Infrastructure        72fs Unexpected RunWorkflow: Microsoft.SharePoint.SPException: <Error><CompilerError Line="1" Column="1" Text="The root activity type is invalid.&q

Trying to send email using Sharepoint Designer 2007 workflow and email enabled list

I have a a list that recieves email. I have few fields that shows me the originator: "E-Mail From" and "E-Mail Sender".

I am trying to create a workflow that will generate an auto reply to the originator but the SPD fails to recognize the email address in these two fields. It's either truncating part of it or uses the html ( href=mailto:Demo@DemoSomething.com) in the To field.

Thank you,

SharePoint 2010 Long Starting if start workflow programatically

In SharePoint 2010, I'm starting workflow #2 programatically from my workflow #1. See code below:

					SPList currentList = web.Lists[new Guid(ListId)];
					SPListItem currentListItem = currentList.GetItemById(ListItem);

					//resolve any lookup parameters
					string workflowId = base.ProcessStringField(WorkflowIdentifier);

					//find workflow association by name
					SPWorkflowAssociation workflowAssoc = currentList.WorkflowAssociations.GetAssociationByName(workflowId, Thread.CurrentThread.CurrentCulture);

					if (workflowAssoc != null)
						//start the workflow
						SPWorkflow workflow = site.WorkflowManager.StartWorkflow(currentListItem, workflowAssoc, workflowAssoc.AssociationData, SPWorkflowRunOptions.Synchronous);

And workflow #2  will hang with Starting status (1-10 minutes), Then the workflow #2 status would be modified  to Completed.

I couldn't find how to start the workflow # 2 immediately and complete immediately without several minutes delay

How can I implement this workflow scenario with SharePoint Designer?

I have a document content type and a library which contains this content type. here is what I want to do:

- when user creates a new document in this library, he will enter some user  names with people picker and then a message including some columns of the content type will be sent to that users. And then, at a certain date (lets say 1 day before a date that is one of the site columns) another email, a reminder will be sent.

I havent been able to find :

1- how can I replace a people picker field on workflow initiation form and how can I make it sent email to the user.

2- How can I make it sent a reminder email 1 day before the date that is stored in one of the columns of the content type(current item)

any help would be welcome,

SharePoint Workflow E-mail Hyperlink has the Spaces Between Two Words Are Removed

I have a very simple Workflow, that includes href link to Infopath form.
If the form name includes spaces, the URL redirects to a The Form has been Closed message, indicating that it cant find that form.
In our scenario, the file name of the document/form in SharePoint when saved is called "Travel Request - <submit date>"  as noted with spaces.
The Hyperlink URL in the email generated by the workflow appears to encode all values in the name after the first two words (after Request).  See below.  after the word Request the spaces are encoded properly.     its replacing the first space with it appears %0d%0a (CR LF)
The URL below is what is displayed when right clicking, and selecting Edit Hyperlink in the email

I can reproduce this in development and production.  Any ideas on how this can be resolved?
