Is it possible to move documents to folder based on metadata by workflow?

We have a document library, which have several folders. We need a process so that documents are stored to the right place based on metadatas. Is this possible? Any better method for this? 1. User uploads a document and defines it as a "personnel" document in the metadata field. 2. Workflow(or another method) moves the document automatically under Folder "Personnel".Kenny_I

Routing of Records to a particular folder (in a hiearchy) based on contents of a metadata column


Hi, i'm looking for ideas to solve a problem that is roadblocking our sharepoint 2010 records management implementation.  We have set up our sharepoint 2010 records center to mimic our existing folder based records management system.  We would like to stamp each of our documents with a piece of meta data (called classification) which contains the path to the records center folder in which this document should reside.  Our users are familiar with this structure and we can setup defaults for a lot of documents so getting the value in the meta data is not a big issue.

The issue is that we would like to create a content organizer rule that would forward a document to a path defined in a meta data column to the matching column in the records center.  I don't beleive this is possible OOTB but i would love to be proven wrong.  I don't want to manually have to create a rule for every folder / meta data value combination because there are thousdand of folders in the existing records center folder.

I'm open to developing a custom solution to this problem (or hiring someone to doe this), however not sure where to start... use the content oganizer object or a sharepoint timer job?  Don't want to have to reinvent the wheel...

Can Documents Inherit Metadata from a Folder?


Using SharePoint Server 2010, I would like to know if I can upload documents and have them inherit metadata from a folder, if this is possible can someone please explain to me how to do this?


Filter out documents from search based on metadata value



I currently have a document library that contains over 1,800 records in it. Each document has a metadata column called "Archived" associated with it. This property can either be True or False. Currently, every document in the document library gets indexed by the Search Engine Crawling service. I would like to filter out the documents that have the archived property set to True, so that they don't appear in the search result. Is there a way to create a crawl rule that would be specific to a particular Document Library, and that could filter documents out based on metadata?


My alternative is to create and event handler that would move the document out into another document library that won't get indexed whenever the property gets set to true. However, I would prefer to use a cleaner out-of-the-box way to achieve this. Anybody knows if it is feasible?

How to use metadata for permission to access Documents?

I have document library with 100-200 documents. Not all users are allowed to open all documents. So far I know that user permission can be defined by a document or library level. And permision are granted for user or groups. I wonder if it possible define permissions by metadata level. Hi All, Could someone help me? I am newbie to sharepoint and workflow. I want to write a work flow library to send email to user bi annually. I have tried and not successful. My workflow doesn't applied to existing documents and it doesn't send mail to existing document owner and it stopped sending mail after one or two times. I am using sharepoint designer 2007. Here are work flow steps 1)      Workflow need to start automatically when attach to DL 2)      If there are some documents already in DL, this WF needs to be applied to all existing documents. 3)      When workflow starts, it will send email to document owner to review their existing documents or new document loaded 4)      Send reminder after one week if document owner doesn't review their document 5)      If user doesn't review the document (check out, check in) after 2 week, it will automatically check out and check in with document owner account 6)      After 6 months from that time, workflow will send email again to document owner to review 7)      Step 3 to 6 will loop.   Any suggestion? Publish Office 2007 documents with metadata to SharePoint 2010?

Hi. I have SharePoint 2010 Enterprise based Intranet solution. We are publishing office 2007 documents to various document libraries there. When uploading documents normally to the document library, I can enter managed metadata to the documents which are later sorted and filtered by this metadata. But how can I enter metadata at the point where I'm publishing the document(Publish->Document Management Server)? I can get the document management pane to show my metadata -column in word as a textbox after the document is published, but the textbox is colored grey and says that I should modify that data on the server i.e. from sharepoint.

This service does get called when there's the default ReceiveRequest coupled with a SendReply activity in the service. within my document library i have placed some folders. the foldernames are the names of my technical users. when i place a document in one of those folders i want to send a email to the specific user. i think the workflow that you make is ownly assigned to the document library.   how can my workflow see, in witch folder i added  a new document and send a mail to this user? can i check this by a if statement, if yes how excactly.

Approval Workflow email truncating space in folder name


Hello all-

I am programatically starting the approval workflow on a doc in a document library.  MOSS 2007.

That doc is in a sub folder of the libary.  The sub folder has a space in the name.  For example, the doc library name is Documents.  The sub folder name is 1.0 General.

When starting the approval workflow on a doc in this libary, the link that appears in the email message does not maintain the space in the folder name.  It does maintain the space in the doc library name.  For example, the link appears as http://servername/sitename/Documents/1.0General/Doc1.docx, but it should be http://servername/sitename/Documents/1.0%20General/Doc1.docx.  Any ideas what is happening and how to resolve this.

Email is Lotus Notes server and client.



SharePoint 2010 Approval workflow based on list criteria


Hello All

I have been requested to create an Approval workflow for a list with 3 columns - Title, Category and Price. The Category field has 3 options - Minor, Moderate and Major.

If the Category is Minor the approval is sent to the Project Manager, and after approval it is sent to the Manager for approval.

How can I accomplish this using SharePoint Designer 2010? Can I modify the OOTB approval workflow, if yes how?

What other options do I have? This is really urgent.
