Office backstage view not displaying workflow options and workflow banners not appearing

I am running the SharePoint 2010 Contoso RTM vhd (http://www.microsoft.com/downloads/details.aspx?FamilyID=751fa0d1-356c-4002-9c60-d539896c66ce&displaylang=en) and want to access how Office 2010 participates in workflows.  I have created a new document library, configured a workflow on the document library and have selected the "Connect to Office" button. However I cannot see any workflow banners appearing on documents that have pending tasks and I cannot see the workflow options in the backstage "Save & Send" screen.  My document library is however available and displayed in the "Save to SharePoint" locations. I built a 32 bit Windows 7 client to see if that worked, but I get the same issue.

I don't see any workflow options at all

Using MOSS 2007. Workflow settings are: Enable User Defined Workflows for this site? = Yes Alert internal users who do not have site access when they are assigned a workflow task? = Yes When I go into a document library and access the drop down menu against a document, the only options are: View Properties Edit Properties Manage Permissions Edit in Microsoft Excel Delete Send To Check Out Alert Me I would expect to see a workflow option? How do I enable this function? I am both domain admin and farm administrator.

Workflow stuck on starting When using Win 7 / Office 2007

I've recently created custom workflows for a document approval process. At first I set the workflows to be started manually, for testing purposes and everything worked well. However when I changed the workflows to start automatically I started get problems. The workflow progress would stick on "Starting". Im running Win 7 And Office 2007, so i decided to do some troubling shooting on a different machine (XP and 2003) This time the workflow work perfectly...!   It is really strange as to why the workflows work fine on XP and 2003 and not with Win 7 and 2007. Can anybody shed any light on this or had the same problem? Thanks Chris

Insert "View Entries..." data into custom workflow e-mail

Scenario: There is a custom task list (not created by me) that has a Multiple Lines of Text column called [Description] that is displayed in views as a "View Entries..." hyperlink to the DispForm. On the DispForm there are hyperlinks to each previous version as well as the modifying user. Problem: I need to create a workflow that e-mails the person to whom the task is assigned to with looping functionality whenever it is reassigned. All of this works fine, except I am unable to insert the [Description] column info into the e-mail. I have tried adding the [Description] column lookup to the body, as well as assigning the contents to a string variable and displaying it, but none of these things work. I also discovered that when I switch to Datasheet view the entire [Description] column is empty. When I turn off "Append Changes to Existing Text" to the column, the "View Entries..." hyperlink disappears workflow functions just fine, but since the descriptions can run rather long people don't want to remove this functionality. Any help on the subject would be apprecated!

OOTB Approval Workflow SharePoint 2010 - Blank "Requested By" field appears in Task Item edit/view f



I am having a simple OOTB  approval worflow associated to the simple document library. Task is created when an document is uploaded to the library.  When I click the task item in task list, I see a blank field "Requested By"  right below the "Status" column and I am unable to understand from where this field is coming and how to populate this field. Any help would be great...

Custom Task form of a SharePoint Designer workflow is not displaying correctly


We have created a custom workflow using SharePoint Designer. We are using one action “Collect Data from a User”. As you know, this action sends an email to a user with a link to a task form where user is supposed to accept or reject a request. We are encountering following issues with this form:

  1. Form is not a workflow form, it is a task item of the task list that the “Collect Data from a User” action of the workflow creates.
  2. Form opens as an item of the workflow task list in View mode (DispForm.ASPX) instead of Edit mode (EditForm. ASPX)
  3. When user clicks on “Edit Item” button, it displays all the fields of the task as editable – we want only the Approve/Reject option buttons and the comments TextBox (that we created during the workflow design) to be displayed as editable

Can someone please explain what is going on and how can we resolve the above issues?

Default Content Approval Workflow not firing after Check-In from Office 2007


I have created an Approval Workflow for a Document Library and assigned it as the Default Content Approval Workflow (in the UI: Start this workflow to approve publishing a major version of an item).

If, through the SharePoint web interface, I "Check-In" and select a Major Version (e.g. 1.0) or I "Publish a Major Version", this workflow is initiated as one would expect.

However, if through Microsoft Office 2007 (e.g. Word) I Check-In the document as a Major Version (e.g. 1.0) it does NOT initiate the workflow. It DOES set the Document Status to Pending but does NOT initiate the Approval workflow. It then becomes necessary to "Cancel [the] Approval" in the GUI and re-Publish it in order for the workflow to be initiated. This is crazy! Microsoft have achieved fantastic results with their Office integration, why hasn't the initiation of the Default Content Approval Workflow been included?

Can anybody replicate this? What is the correct channel for reporting this to Microsoft? Has anybody else discovered this and found a solution?

I can't believe SharePoint has been used as a Document Management System and nobody else has discovered this flaw?

SharePoint Desiger 2010 Workflow causing Gantt view failure?


I would love to know if anyone seen the following and found a workaround?

  1. Create an Issue Tracker list and a Tasks list
  2. Add a very simple workflow to the Issue Tracker list using SPD 2010 to:
    1. Create an Item in the Tasks list
    2. Update the Issue Tracker list item (e.g. to set it Issue Status value to Resolved)
  3. On the Issue Tracker list try to now view the list using a Gantt view (you will have to create one)

At this point we are seeing errors rendering the Gantt view and the ULS logs seem to indicate that the error is from some code that is trying to parse a multi-value column, and as best we can make out, the column it seems to be failing on is the Property Bag (MetaInfo) column. The peculiar thing is that the Task list's Gantt view does render (with the same type of values in the MetaInfo column).

Weird one, and I would greatly appreciate it if anyone has a solution they can share!


Complexity in designing our own Workflow Designer UI (WorkflowDesigner.View properties)

Hi all,

Currently our team has plan to create a simple task-sequencing-and-scheduling-module using .NET 4.0 and VS2010. The major job is to schedule and execute whatever 'task' that given to it. 
The 'task' usually represented as sequence of task with some control flow in between.

To leverage on .NET framework, we plan to use Windows Workflow since it already has runtime engine that capable to perform scheduling and sequencing activities(in our domain, we plan to use workflow 'activity' as 'task'). 

However, the default Rehosted Workflow Designer UI (WorkflowDesigner.View properties) is not really user friendly and we would like to either perform major customization on it or rewrite our own Workflow Designer. 

So could you advice me how complex if we want to create our own workflow designer? Do you think Workflow is appropriate for this kind of application? 
It's kinda different from normal Workflow usage whereby usually people use it in sharepoint to define business process. 
In our case, we plan to use it as an engine of our task-sequencing-and-scheduling module as I mentioned before.


Custom Form Fields not appearing in Workflow Tasks column list when try to Update List Item


UPDATE:  This problem seems to be solved by closing and reopening the Workflow xoml wizard.


I have created a 3 step workflow and at each step I have a Collect data from user task that I use to Update my list item.  I actually have 4 options (If Else clauses) per step and for each option I have to collect the same data from a different user.  So I'm aiming at using "Update list item" 12 times in this workflow.

I have been developing this workflow over some days but the Custom Form Fields that I create in the "Collect data from user" task are not always available when I try to "Update list item".  By which I mean, I try to specify the "data source and field to perfom the lookup on" and I can select the "Workflow Tasks" list but the field that I just created in the "Collect data from user" task does not appear in the fields list!!!

I can't determine why a field doesn't appear.  I have tried using no spaces or special characters, keeping the name of the field short but for some reason my newly created field doesn't appear in the list.  The field does appear in the content type when I look at the settings for the "Workflow Tasks" list and the field appears in the "Workflow Tasks" list of columns and the site content type.&n

Sharepoint Foundation 2010 Workflow Start Options


I have Sharepoint Foundation 2010 installed and Sharepoint Designer. When I create a Site workflow there are 2 Start Options grayed out, 1) Start this workflow to approve publishing a major version of an item. 2) Start this workflow when an item is changed.

Is there an onther setting to prior to creating the workflow to turn these option on or are these 2 options not available in Sharepoint Foundation 2010?


Error opening Office Open XML file when using SD workflow to create item in document library.


I have a Sharepoint document library that is using a word template with xml mapping (Word-Sharepoint).

I have a workflow created in Sharepoint designer that Creates an item in this document library with select data from a form library on the same site. 

It appears to create the entry in the document library correctly, it is showing the copied data from the form library and the correct default data in the columns specific to the document library. The explorer view shows the filename.docx files.

I am able to edit the data using the datasheet view, however it will not open the word document.

The error message reads "The Office Open file <filename> cannot be opened because there are problems with the contents." If I click on the details button it states "No error detail available".

Any ideas?

Edit this task button not appearing in Sharepoint Workflow documents



I have a simple custom workflow where the user uploads a spreadsheet into Sharepoint, upon which a workflow is kicked off for approval. However, once the document goes to the approver, the edit this task button is missing from the top of the excel. What is going wrong?

This only happens on this particular subsite. We don't have this problem anywhere else.
