In this article I would like to demonstrate usage of Metadata in Tagging documents & later enhancing Search using the Metadata.
In this article we will be exploring:
- Metadata & Purpose
- Managed Metadata Service
- Term Store

- Searching using Metadata
What is Metadata?
Simply Metadata is Data about Data. SharePoint allows associating Metadata along with Document & List items. These will be indexed & provide better & filtered Search Results.
"So Metadata is Data about Document or Item in SharePoint"
We can use the following Metadata Associations:
- Metadata Columns
Why we need Metadata?
Metadata allows organizing & classification of documents & items. As the SharePoint usage increases, more documents are stored, Retrieval would be a problem. For example you have an Architecture Library where hundreds of documents reside. How you will locate a document specific to SharePoint?
You can use name to search for, but not all document contain SharePoint in the name. By using Metadata, we can associate each document with the keyword SharePoint. This will enable indexing & fast retrieval of the document during a search.
We can use multiple metadata association as well.
What is Managed Metadata Service (MMS)?
Managed Metadata Service enables managed metadata for SharePoint web applications. We can configure this service through Central Administration.
Term Store is within Managed Metadata Service.
The scope of a Term Store can be:
- Local to Site Collection
We can create Term Store using Central Administration& SharePoint Site Collection settings.
In this article we have explored the advantages of SharePoint Metadata & usage in Search. In real time scenarios, Metadata provides better & faster content retrieval.
